POSITION OVERVIEW:
The Administrative Assistant will provide essential operational, administrative, and organisational support to ensure the smooth running of daily business activities. This part-time role is ideal for a highly organised, detail-oriented individual with strong communication skills and the ability to manage multiple tasks efficiently.
KEY RESPONSIBILITIES:
Provide operational and administrative support
to staff and leadership, including assistance with meetings, travel, and day-to-day coordination.
Deliver front-line support
to customers, suppliers, and other stakeholders via phone, email, and in-person interactions.
Manage order processing
, including direct orders, Oracle orders, credit card orders, and follow-up activities.
Maintain inventory and supplies,
including kitchen, stationery, and chemical inventories, and coordinate timely reorders.
Carry out finance-related administrative tasks
, including reconciliations and credit card processing.
Support compliance and recordkeeping
, including updates to registers, contract reviews, and maintaining accurate documentation.
Assist with branding and PR activities
, including updates to the company website, social media channels, and related communications tasks.
REQUIRED SKILLS & EXPERIENCE:
Proven administrative or office-support experience.
Strong organisational skills with exceptional attention to detail.
Confident communicator with a professional manner.
Proficiency in Microsoft Office Suite; familiarity with Oracle or similar systems is an advantage.
Ability to plan and prioritise multiple tasks in a fast-paced environment.
Reliable, proactive, and comfortable working independently.
Prior involvement in PR or communications activities is an asset.
ADDITIONAL INFORMATION
Job location: on site in St Andrews
Job type: part time (16-20h per week)
Salary: pro rata based on full time benchmark salary of 25-27k pa
