We are looking for a highly organised and professional
Admin & Communications Support
to join our busy team. You'll be the first point of contact for clients, handling calls and correspondence with professionalism, while also supporting the smooth running of our office.
From answering phones on behalf of multiple firms, to scheduling client meetings, managing post, email inboxes, and office supplies, you'll play a key part in keeping everything coordinated and ensuring our clients and team receive excellent support.
This is an office based role to support smooth running of the office.
What You'll Do
Client Communications & Admin
Answer incoming calls via our VOIP system, greeting callers on behalf of different firms, transferring them to the right team member, or taking messages.
Monitor multiple email inboxes, logging tasks into our system for the team to action, and sending professional holding responses to clients.
Schedule and book client meetings, ensuring diaries are accurate and up to date.
Chase clients for documents and information in a timely and professional manner.
Maintain accurate and well-organised client and office filing systems.
Post & Document Handling
Open, scan, and save incoming post to the correct files, notifying the relevant people.
Print and prepare outgoing post/documents requested by our remote team.
Organise shredding and document disposal in line with compliance requirements.
Office Support
Manage office supplies, including stationery ordering and stock control.
Assist with office organisation and ensure smooth running of on-site operations.
What We're Looking For
A confident communicator with a professional and friendly telephone manner.
Strong organisational skills and attention to detail.
Ability to juggle multiple tasks and prioritise effectively.
Good written communication skills for email correspondence.
IT-literate, with experience using email, file systems, and (ideally) task management tools.
Previous experience in an admin, receptionist, or office support role is desirable, but not essential if you're quick to learn.
Benefits
Competitive Salary:
24,000 - 26k depending on experience.
Generous Holiday Package
: 30.5 days holiday, increasing with length of service, up to a maximum of 33.5 days.
Please note that our office closes for the Christmas period and this time off is provided without affecting your annual leave entitlement.
