The Role
As our Administrative Manager, you will be the backbone of our daily operations--ensuring smooth-running office facilities, efficient communications, and exceptional customer experiences. You will report directly to the Operations Director and work closely with all teams to support administrative, compliance, and event?planning needs.
Key Responsibilities
Front of House & Reception
Answer and triage incoming calls and emails, redirecting to the appropriate team members
Greet visitors and manage all inbound deliveries
Events & Meetings
Coordinate and support monthly internal meetings
Assist with planning and execution of company events
Compliance & HR Support
Partner with the Operations Director on compliance and HR initiatives
Complete onboarding/offboarding processes
Support the development and enforcement of office policies
IT & Phone System
Generate and distribute monthly call?log reports to Heads of Department
Generate and distribute monthly email?log reports to Heads of Department
Assisting with basic IT needs and troubleshooting.
Liaising with our IT support company
Office Facilities & Finance
Order office supplies, stationery, and workwear
Manage the cleaning contract and liaise with other service providers
Assist with monthly reconciliation of office?related expenses
Budgeting
Assisting with the marking budget
Assisting with the Admin budget
Bank reconciliation for Land reg search and misc. charges
Assist with company cards - software, limits, expenditure, reconciliation, issuing of
Recruitment
Assisting with admin involved with recruitment and employment of staff
Assisting with admin involved with recruitment and employment of temp staff.
This is a position that will grow to include additional responsibilities--agreed upon collaboratively with the successful candidate--so we're seeking a proactive individual with initiative. Ultimately, we envision this role evolving into an Office Manager position.
