About the role

The Administrative Officer will work closely with the Faculty's leadership team to provide highly professional administrative and executive support to assist the smooth functioning of the Faculty as a whole, and to ensure momentum is maintained on key strategic initiatives. As a member of the Operations Team, the role will also provide administrative support on key HR, finance and operational matters. This is a pivotal post within the Faculty team and provides an excellent opportunity for the right applicant to develop a career in university administration. As the role requires interaction with many people within and external to UCL and a wide-ranging portfolio of duties, a professional attitude, resourcefulness, willingness to help, and an ability to build effective and positive working relationships at all levels are essential.


About you

The ideal candidate will possess secretarial or administrative qualifications or have equivalent experience in a role that includes significant organisation, scheduling, and confidential work. They will have demonstrable experience providing high-level administrative support to senior leaders, including managing complex electronic diaries, servicing committees, and taking minutes. An understanding or experience of the Higher Education sector is also desirable.



The candidate must exhibit excellent communication skills, both written and verbal, along with a high standard of personal presentation and confidence. Candidates should have a strong command of written English, including spelling, grammar, proofreading, and editing. Collaboration and teamwork are essential, as are well-developed interpersonal skills for engaging with individuals at all levels within UCL and externally.



The role requires strong problem-solving abilities, a flexible approach, and the capability to manage a varied workload independently. Outstanding organisational skills, keen attention to detail, and effective time management are vital. Proficiency in Microsoft Office applications (such as Word, Excel, and PowerPoint), experience using databases, AV equipment, and online conferencing tools are required. The candidate must also demonstrate the ability to handle sensitive or challenging situations with discretion, diplomacy, and confidentiality.
