Role Overview
We are seeking a motivated and detail-focused
Administrator
to provide critical administrative and coordination support across our operations. The ideal candidate will thrive in a fast-paced environment, demonstrating strong organisation, communication, and customer service skills. This role is essential in ensuring the smooth handling of internal processes, including invoicing, travel arrangements, document management, and client liaison.
Key Responsibilities & Accountabilities
Support the preparation of invoices, costings, quotations, and monthly reports as instructed by the manager.
Maintain and update physical training records with the latest certificates.
Liaise directly with customers to confirm and clarify requirements.
Coordinate with suppliers and issue purchase orders.
Work alongside the accounts department on matters related to invoicing and credit control.
Assist the Test House with organising and filing technical reports.
Manage and maintain personnel filing systems.
Arrange travel for UK and overseas assignments (flights, ferries, accommodation, etc.).
Book employee medical and eye test appointments.
Maintain accurate holiday and leave records.
Manage general administrative duties including incoming/outgoing mail.
Handle and redirect telephone calls in a professional manner.
Qualifications & Experience
Essential:
Previous administrative experience in a busy office setting.
Proficiency in Microsoft Office 365.
Strong organisational skills and ability to prioritise tasks.
High level of accuracy and attention to detail.
Clear and confident communicator.
Proactive, flexible, and able to use initiative.
Team-oriented with a collaborative approach.
Desirable:
Experience using SAP or similar enterprise systems.
