We're looking for a highly organised and proactive Administrator ?to join our small but impactful team at the Arts Development Company.
The main purpose of this role is to provide highly effective administration for the Arts Development Company, supporting our staff team, our board, partners and stakeholders. You will lead the organisation's administrative function and assist the General Manager in maintaining The Little Keep, our cultural hub in Dorchester.

Key Responsibilities
Provide core administrative support across the organisation
Book meeting rooms and coordinate internal schedules
Attend and minute meetings
Maintain filing systems and manage accurate record keeping
Assist in the development of organisational policies and procedures
Collect and organise data for project evaluations
Manage travel and accommodation bookings
Respond to general enquiries via phone and email
Schedule 1:1 mentoring for artists and freelancers
Other Responsibilities
Event and Project Support
Coordinate logistics for events and conferences, including:
Setting up events on Lu.ma or similar platforms
Organising catering and venue arrangements
Collating event-related information
Managing email reminders and post-event communications
Gathering attendee information (e.g. access or dietary needs)
Office Systems
Oversee office equipment, supplies, and maintenance needs
Support the bookkeeper on larger projects by managing invoices and receipts, ensuring shared folders are regularly updated
Building and Facilities Management
Assist the General Manager with the day-to-day running of The Little Keep, including:
Acting as first point of contact for tenant enquiries
Coordinating subcontractors, cleaning services, and maintenance contracts
Conducting weekly fire alarm tests and taking meter readings
Organising monthly networking events at The Little Keep
Governance Support
Schedule meetings, workshops, and strategic planning sessions
Disseminate board papers and other key documents
Minute governance and strategic meetings
Other
Attend relevant training as required

Experience
Demonstrated ability to support and manage day-to-day operational activities
Proven experience in maintaining and improving administrative systems and processes
Strong track record of working independently and taking initiative
Background in an office based role
Experience managing small scale budgets (desirable)
Experience overseeing office or facility management responsibilities (desirable)
Familiarity with working in arts or cultural environments (desirable)
Skills and Knowledge
Excellent administration and multitasking skills
Strong written and verbal communication
Comfortable using IT systems and digital tools to improve efficiency
Ability to handle sensitive information with confidentiality
