skindoc is a leading provider of online dermatology services in the UK and a part of the Dr.Dropin group. Due to successes online, skindoc has decided to open a face-to-face clinic in Fulham, London, alongside Dr.Dropin.

In 2022, we joined forces with Dr.Dropin, recognised as one of Scandinavia's fastest-growing health start-ups. skindoc addresses the issues of limited accessibility to dermatology services and extensive wait times within the NHS by pioneering UK leading digi-physical hybrid services.

skindoc is one of the select few CQC-approved online dermatology services and with the goal of building the leading medical dermatology service in the UK, we are investing heavily in both digital and physical care services.

We are looking for an ambitious and dynamic Administrator to join our team at our flagship Fulham clinic. You will play a pivotal role in assisting the team with a wide range of day-to-day tasks, contributing to the seamless and efficient operation of our clinic and online provisions.

Responsibilities include:



Efficiently schedule, reschedule or cancel appointments as required, keeping in mind the preference and needs of both patients and dermatologists. Provide educational materials and resources to patients or staff to help them use the platforms. Maintain strict confidential patient information, adhering to all legal and ethical guidelines regarding patient privacy and data security. Process online and in-clinic consultation outcomes ensuring high quality and accuracy. Ensure patients receive welcome packs within a timely fashion. Support clinicians with queries when on the service, including basic IT troubleshooting. Liaise with various stakeholders including GP Surgeries, Pharmacies, Hospitals, Private Insurance providers and Labs with respect to skindoc patients. Support with the completion of care trackers including administration, patient outcome, incident and complaint management trackers etc., ensuring they are up to date and accurate. Engage with patients through various communication channels such as phone, email, online portals, and in-person interactions. Tailor communication style to meet the diverse needs of patients, ensuring clarity, empathy, and professionalism in every interaction. Foster a supportive and reassuring environment for patients, especially those experiencing anxiety or distress about their dermatological conditions. Ensure patients visiting the clinic or using our online services are greeted and assisted in a welcoming and supportive manner. Act as a compassionate liaison between patients and dermatology professionals, understanding their needs and concerns to enhance their healthcare experience. Provide clear, empathetic guidance and information to patients regarding services, treatment plans, and procedures offered at skindoc, both in-person and online. Assist patients in navigating the healthcare system, including helping with forms, insurance queries, and understanding medical instructions. Monitor patient flow into the clinic and online to minimise wait times and improve the overall patient experience. Encourage patients to submit positive reviews and feedback about the skindoc service. Provide support and assistance to other team members, fostering a collaborative working environment. Participate in training and development activities, staying updated on best practices in healthcare operations and patient care. Support in developing training materials related to administration and patient support processes on the skindoc service.

Who we are looking for:



Educational background in business administration, or related field. Previous experience working in a healthcare setting, either in digital health and/or a private clinic. Previous experience in an administrative role is essential. Previous experience in a patient/customer support role is essential. Excellent communicator both spoken and written, with ability to relay information clearly and effectively. Empathetic and enjoys interacting with people; personable, polite, and patient at all times. An understanding of confidentiality and sensitivity when dealing with confidential issues. A self-starter who takes initiative and can work autonomously, with ability to use common sense and own judgment with situations which do not fit the norm. Possess basic IT skills to fulfil job requirements, including the use of MS Office suite to a good level. Thrives in dynamic environments and adaptable to changing priorities - no two days will be the same! Enjoys a vibrant workplace with learning and innovation. Demonstrates a genuine passion for healthcare and a commitment to improving patient experiences and outcomes. Exhibits outstanding organisational and time-management abilities, with a knack for prioritising and managing multiple tasks efficiently and with high level of accuracy.
