Bridge View Medical is a Primary Care Network with 4 merged practices in South Bristol with c39,000 patients cared for by a team of 150 dedicated Partners and staff.

We are looking for a pro-active and focused

Administrator

to join our Rota team working to provide efficient, high quality administrative support to aid the smooth running of our operation.

Hours of Work are Monday 7:30am-3:30pm and Wednesday 7:30am-3:30pm rota team. Remaining 16 hours - flexible between 8:30am-5:30pm on Tuesday, Thursday and Friday



Duties and Responsibilities:



Rota



Completion of EMIS work (training will be provided) in order to ensure the appropriate number of clinical sessions are available for the appropriate clinician resulting in BVM Patients being able to book an appropriate appointment. This will include ensuring BVM's contractual obligations are adhered to and this being reflected on EMIS. Completion of ad-hoc work to ensure staffing issues and additional clinical work is accounted for and reflected on EMIS. Completion of accurate clinical room planning. Accurate recording and planning of clinicians' leave to include holiday, bank holiday and study leave Completion of clinical rota work which includes but is not limited to ensuring that BVM has an appropriate level of clinicians in order for BVM to be able to fulfil its contractual obligations as well as meeting demand of Patients Liaising with external agencies in order to ensure BVM has appropriate clinical staffing.

Secretarial



To provide an efficient copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner. Process and maintain referrals using the E Referral System. Maintain all workstreams within the E Referral system. Process dictation using the Swift system. To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure. To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries. To be able to retrieve test results, clinic letters, discharge summaries from appropriate computer systems, or liaise with secondary care staff. To assist with the gathering of statistics and information when required. To provide cover for members of the secretarial team during periods of sickness and annual leave. Maintain adequate supplies of office stationery in order to perform your secretarial duties, informing appropriate member of staff when supplies are low. Process requests and queries from all systems used within a clinical setting. Process requests and queries received via email.
Workforce planning and EMIS experience is highly desirable.

You should have an understanding of confidentiality and GDPR guidelines, have strong customer service skills and a strong sense of urgency. Experience working in Primary Care would be advantageous.

You will also be required to have great problem solving and communication skills , good attention to detail, good organising skills and be able to work as part of the team in order to help deliver an excellent service to our patient population .

Experience of working with Excel spreadsheets is important.

Minimum education qualifications - GCSE grade C or above (or equivalent) including Maths and English.
