As our workload grows, we're looking for a highly organised Administrator to support our operational teams, site managers, subcontractors, and clients.
The Role
This is a central operations support role responsible for keeping jobs, people, and paperwork moving smoothly. You'll be a key link between the office, site teams, subcontractors, and clients, ensuring compliance, scheduling, and communication are handled efficiently
Key Responsibilities
Operational & Admin Support
Supporting Contract Managers and Site Managers with day-to-day admin
Creating and managing job packs and documentation
Logging jobs, updates, and completion information
Filing photos, certificates, and compliance documents
Subcontractor Onboarding & Compliance
Onboarding new subcontractors
Ensuring all compliance documentation is in place, including:
Insurance
Right to work
Qualifications / cards
RAMS
Maintaining up-to-date subcontractor compliance records
Client & Tenant Liaison
Providing updates to clients on job status and progress
Booking appointments with tenants and residents
Handling inbound calls and emails professionally
Managing access arrangements and rescheduling where required
Scheduling & Coordination
Assisting with staff scheduling and daily work allocation
Coordinating operatives, drivers, and labourers across workstreams
Booking deliveries and coordinating logistics with suppliers
Supporting emergency and priority works scheduling
General Office Duties
Data entry and system updates
Supporting invoicing and job close-out processes
General administrative support as required
What We're Looking For
Essential
Previous administration experience (construction or social housing preferred)
Strong organisational and time-management skills
Confident communicator (phone & email)
Comfortable managing multiple priorities
Good IT skills (Outlook, Excel, job management systems)
Professional, reliable, and proactive attitude
Desirable
Experience in social housing or property maintenance
Subcontractor compliance or onboarding experience
Scheduling or call-handling background
Knowledge of SOR-based contracts
