Job Description

Provide general administrative support to division managers, including the Director

and Operational Lead

Lead, supervise and support a team of administrative staff to ensure high

performance and service delivery in line with their job descriptions.

Allocate and monitor workloads, ensuring that deadlines and service standards are

met.

Hold oversight of audit processes as directed by the Operational Lead. Coordinate reception cover rota in collaboration with colleagues. Support Oakdale's induction, appraisal and disciplinary processes for junior

administrative staff.

Provide line management, training, coaching and mentorship to administrative

support assistants.

Coordinate and oversee office systems, procedures and policies to ensure efficiency

and compliance.

Ensure accurate and timely documentation, data entry and records management. Assist with recruitment, onboarding and induction of new administrative staff. Liaise with the Operational Leadand Director of Psychological Therapies to ensure

administrative needs are met.

Identify opportunities for process improvement and contribute to the development

and implementation of new administrative procedures.

Resolve escalated issues and act as the first point of contact for complex

administrative queries.

Maintain confidentiality of sensitive information and ensure compliance with relevant

regulations and standards.

Ensure adherence to Oakdale's organisational policies and procedures.

Person Specification

Professional, approachable and friendly. Strong leadership and team coordination skills. Excellent organisational skills with the ability to allocate and manage workloads. Strong communication skills, both written and verbal, with the ability to liaise

effectively with colleagues and stakeholders.

Experience of supervising or line managing administrative staff. Excellent IT skills and computer literacy, with experience using database applications

and familiarity with Google Workspace.

Responsible, trustworthy and reliable. Keen attention to detail with strong record-keeping abilities. Good problem-solving and decision-making skills. Knowledge and understanding of psychotherapy and psychological services would

be advantageous.

A collaborative style and team-oriented approach to support the delivery of

high-quality clinical services.
