We are a well-established, family-run air conditioning installation and maintenance company based in South Woodford, proudly serving a broad base of both commercial and residential clients. As our business continues to grow, we are seeking to welcome a proactive and detail-oriented Service/Admin Assistant to join our team. This full-time position plays a key role in supporting our daily operations--with a strong focus on the coordination and smooth running of our service team--managing client interactions ensuring the overall digital and physical organisation of our office environment. Salary will be based on numerous factors such as experience for this type of role.



The role will begin with a probationary period of 3 months, during which we will assess your capabilities and determine whether you are well-suited to both the responsibilities of the position and our team dynamic.

As the Service/Admin Assistant, your primary responsibility will be to support the day-to-day operations of our service team--ensuring our engineers are organised, well-informed, and operating efficiently.



You will act as a key point of communication between clients and engineers, managing service schedules, relaying job information, and ensuring that every service visit is prepared for and properly followed up.



Alongside this you will help to maintain a clean, organised, and efficient office environment, and support the implementation of our internal systems.



You will receive training to become proficient in our CRM and file management systems, which are essential to tracking ongoing jobs, managing service records, and ensuring seamless communication.



Attention to detail in data entry is crucial, as is keeping records up to date, including client files, job histories, and service logs.



Clerical duties such as printing, copying, scanning, and filing documents remain a part of the role, but the core of your daily work will involve coordinating engineer schedules, handling client service requests, confirming appointments, and following up on outstanding works.



You will need to respond promptly to service queries, liaise with clients over the phone and via email, and ensure that our engineers have all necessary documentation and job details prior to attending site.



A strong phone manner and clear, confident communication are essential in representing the service team to clients and keeping internal processes flowing.

Over time you may take on more responsibility within the service function including deeper involvement in scheduling, planning, and support for reactive and preventative maintenance programmes.



Your role will also extend to general administrative support including light HR responsibilities, processing invoices and purchase orders, maintaining accurate internal records, and ensuring essential supplies are consistently stocked.



However your main priority will be working towards a reliable and organised support pillar for our service team helping to maintain the high standards our clients expect.
