Job Description

We are looking for a committed and flexible Administrator to support the efficient and effective running of Admissions at Bedales schools. Bedales Admissions aims to provide a bespoke, personalised service where people have a positive experience and feel well-treated. This is a people-facing role where the successful candidate will support the administration of visits by prospective parents and students. An attention to detail and accurate management of data are essential.

Experience & Background



The successful candidate will need to be a reliable and capable individual, who can use their own initiative, as well as work as part of a team. You will have great communication and ICT skills, ideally with experience working with an Admissions or customer relationship management database. Experience in a similar role within an education setting is desirable.

Duties



You will:

Work to ensure high quality data is captured in OpenApply, the Admissions database, ensuring prospective parent, student and agency information is accurate and up-to-date. Identify gaps in admissions data and contact families, schools and agencies for missing information at appropriate point in the admissions cycle. Cross check data between iSAMS (the school's management system) and OpenApply and correct inconsistencies. Add student information captured by phone. Support the administration of visits by prospective parents and students including Open Mornings. Produce the weekly admissions diary, identify tour guides and circulate and record visits in OpenApply on a weekly basis. Support with the organisation of, and ensure appropriate marketing materials for, open days, taster days, assessments, induction and other events to help deliver a positive experience to students and families. Liaise with colleagues in External Relations, Catering and Facilities for event support as needed. Assist in the successful organisation of Admissions assessments across the Whole School in liaison with the Data & Assessments Manager. Including but not limited to, liaising with Facilities and Catering, student file management to ensure all information is available for staff at assessments. Invigilate admissions assessments as required. Liaise with feeder schools, tracking activities, setting up meetings for visits, and keeping feeder schools in touch with activities and events at Bedales, in liaison with the Admissions Marketing Executive and Heads' PAs. Create feeder school briefing sheets for visits to and from feeder schools. Assist with admissions correspondence, including preparation of induction material for new students, such as Handbooks. Liaise with prospective parents and students as required. Monitor the Admissions inbox and flag for colleagues for further action, respond to general enquiries by telephone and email in liaison with the Registrar, Bedales Prep & Pre-prep and Admissions colleagues. Ensure the maintenance of clear and effective filing, electronic records, and other systems and keep them updated, whilst progressing towards a paperless office. Support the Admissions operation in seeking ways of continuously improving as a team. Stand in for Admissions colleagues as required.

This post is Regulated Activity.

Hours of Work



This full time post works throughout the year where you will be required to work 37.5 hours per week. There is occasional Saturday working for which time off in lieu will be offered. Flexible work arrangements including job shares can be considered and will be discussed at interview.

Salary of 26,686 per annum.
