Job Description

The Faculty of Advocates is a modern and forward thinking professional body with a long and interesting history, as part of the fabric of Scottish Society since at least 1532, with a mix of both historic and modern traditions. We are the professional body for Advocates in Scotland. We educate, develop, regulate and represent our members who are 460 practising Advocates as well as other members who are not practising. We are run by elected Office Bearers headed up by the Dean of Faculty. The following vacancy has arisen within the Dean's Secretariat:

All new appointments will be made at the start of the salary scale

Hours: 35 hours per week, Monday - Friday: 9.00am - 5.00pm

This role sits within the Dean's Secretariat team and at its core is an administrative role. It involves demonstrating excellent administrative skills with keen attention to detail and supporting both the Office Bearers and the organisation more generally. It is a varied and interesting position.

Reporting to the Dean's Secretariat Team Leader the role involves:

Managing the admissions process for Intrants to Faculty with the Clerk of Faculty, according to the Regulations as to Intrants Keeping accurate and up-to-date records of Faculty members. Corresponding with Intrants to the Faculty; guiding through e.g. the Matriculation process; presentation of the Petition to Court, and requisite exemption applications Assisting with the administration of the Dean's Council, Board of Examiners, and Admissions Committee. Administer the scholarship programs, overseeing the application, selection, and award processes. Coordinating the February, May, and October intrants' exam diets and assessment scheme. Organising calling ceremonies for new Faculty members. Acting as a liaison with universities for syllabus review and law fairs. Providing administrative support for various Faculty Committees and events etc.
The successful candidate will likely have an HNC in Business Administration or legal studies or equivalent vocational qualification. Relevant experience working in busy office environment together with Higher Grade English is essential.

As indicative guidance, at least five years' experience of working with electronic systems and the management of confidential data is desirable as is administrative experience. However, the post holder may have less years' experience, provided they possess the necessary skills and experience to perform the role.

The ideal candidate will have excellent communication skills, the ability to work as part of a team and to work under pressure. The successful candidate must also show attention to detail, have an enthusiastic attitude and demonstrate diplomacy and discretion.
