two-person aftersales team
, managing customers through the full service and repair journey -- from booking through to vehicle handover and invoicing.
This role is key to delivering an excellent customer experience while ensuring efficient workshop operations, strong parts control, and accurate warranty administration.
Key Responsibilities
Customer Service & Service Management
Act as the main point of contact for service and repair customers throughout their visit.
Create, manage, and update service and repair bookings.
Listen to customer needs and clearly explain recommended work and costs.
Communicate workshop progress and update customers on repairs or additional work.
Handle customer queries and resolve issues professionally and efficiently.
Proactive approach to generating service bookings through various media such as manufacturer contact lists.
Workshop & Diary Control
Organise and control technicians' diaries to maximise workshop efficiency.
Allocate work appropriately based on technician availability and skill set.
Liaise closely with technicians to monitor job progress and completion times.
Manage courtesy bike bookings where applicable.
Parts Department Control
Control the day-to-day operation of the parts department.
Identify, price, allocate, and order parts for service and repair jobs.
Process manufacturer and non-franchise parts orders.
Receive, check, and book in parts and tyres.
Ensure parts availability aligns with workshop bookings.
Warranty Administration
Control manufacturer warranty jobs from start to finish.
Create, update, and submit warranty claims accurately and on time.
Act as the liaison between customer, workshop, and manufacturer to resolve warranty-related issues.
Administration & Invoicing
Accurately invoice retail, warranty, and internal jobs.
Ensure all job cards, health checks, and documentation are completed correctly.
Maintain accurate customer and vehicle records.
Skills & Experience
Essential:
Strong customer service skills.
Excellent organisational and time management ability.
Confident communication skills (face-to-face, phone, and email).
Ability to work under pressure in a fast-paced environment.
Strong attention to detail.
Desirable:
Previous experience in a motorcycle or automotive dealership.
Knowledge of service booking systems and parts ordering.
Experience with manufacturer warranty processes.
A motorcycle license.
