Affinity Flying Services supports the UK military air capability by playing a key part in the seamless progression of pilots through flying training. Under a landmark partnering programme with the Ministry of Defence, we supply and maintain three fleets of aircraft to deliver Elementary and Multi-Engine Flying Training within the UK Military Flying Training System (UKMFTS). About the Role:



We are seeking a highly organised and detail-oriented

Repairs & Calibration Administrator

to join our team. This role is pivotal in coordinating and administering routine repair orders for aircraft parts and tooling calibration, ensuring efficiency within the repair supply chain and supporting aircraft availability. You will work under the direction of the Repairs and Expediting Controller/DPM.

This is a full-time, permanent position within our Procurement Team. Salary will be dependent on experience.

Key Responsibilities:



Repairs Administration



Administration of all aircraft / AEA / GSE repairs and overhauls using the procurement repairs tracker. Administration of orders and core returned parts using Tracking + . Generation of RMA / repair requests with key Suppliers. Seeking approvals on repair orders / cost estimates and inspection findings from budget holders. Coordinating repairs despatch with stores and the export control. Communicating repair order demands to Suppliers and follow up of shipments in and out. Managing priorities with the Repairs & Expediting Controller to ensure suppliers process repairs order to meet our requirements. Monitor repair order progress with vendors providing regular communications to the Procurement team on status for availability. Close out data on tracker to ensure KPIs are continually produced. To support internal repairs to aircraft Wheels - place all internal repair orders only. Support the Repairs & Expediting Controller on wider sourcing initiatives working cross functionally to seek new suppliers of repair services. Administration support with all ongoing Supplier Data Management ensuring data is accurate and up to date on Tracking + and appropriate records are current on Sharepoint. Administration support with New Supplier Evaluations and Reapprovals of Suppliers using Affinity's PQQ documentation process following Affinity Supplier Approval Policies.

Monitoring & Expediting



Expedite for delivery - use appropriate customer awareness sheets from key Suppliers, e.g., Grob, Embraer and Textron monitor progress.

Calibration Administration



Using the tools management function on Tracking +, work in conjunction with the Stores and Engineering teams at Cranwell and Valley to process parts for calibration. Prepare orders and plan capacity / work commitments with Suppliers upon receipt of parts identified for calibration. Generate repair orders upon instruction from Stores and manage despatch process with suppliers.

Essential Qualifications & Experience:



Minimum GCSEs in English and Mathematics (or equivalent). Ability to acquire UK security clearance. Full UK driving licence. Strong analytical skills and proficiency in Excel. Experience with ERP and stock control systems. Highly organised with excellent administrative and communication skills.

Desirable Qualifications & Experience:



Background in supply chain, aviation, engineering, or manufacturing. Knowledge of release certification and product acceptance requirements. GCSE/A Level or Level 3 in Business Administration.
