We are seeking a dedicated and detail-oriented Clinic Administrator. The ideal candidate will play a crucial role in ensuring that the clinic runs smoothly and efficiently, providing exceptional support to both staff and patients. Your main duties will be manning our busy switchboard (booking appointments, signposting patients, dealing with requests for assistance from patients, GPs and other medical staff), front desk and clinical administration
Full training will be given. You will have good written and communication skills; excellent interpersonal skills; an unflappable nature and the ability to work both independently and as part of a team.
This role may require occasional weekend support.
1. Deal with all general enquiries, explain procedures and make new and follow-up appointments for patients
2. Support COVID vaccine clinic attendance and management. Contacting patients to book appointments, supporting clinics, directing patients and observing waiting areas and entering vaccination information to appropriate systems
3. Develop our patient facing IT support services and propose new technologies to improve patient care
4. Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
5. Manage incoming online requests from patients appropriately
6. Contact patients via telephone, text or e mail
7. Support the preparation of insurance reports, sick and fit notes and other related administration
8. Receive and process requests for appointments and home visits, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
9. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
10. Advise patients of relevant charges for private services, accept payment and issue receipts for same.
11. Enter patient information on to systems as required.
12. Ensure that patients' computer records are fully updated with any requests or medication changes and initiate appropriate reviews or monitoring in line with guidelines
13. Administration of patient notes and correspondence:
a) Scan, appropriately code and action incoming mail fro secondary care.
b) Retrieve and re-file records if required, ensuring strict alphabetical order is adhered to
c) Ensure correspondence, reports, results etc are filed promptly and in correctly
14. Business Administration -Monitoring activity, demand and project opportunities
15. Conduct audits and data analysis
16. Quality Improvement activities to identify improvements for the practice and patients
17. Premises:
a) Make all necessary preparations to receive patients in the morning
b) When last to leave at the end of the day, ensure that the building is totally secured, PC's and internal lights are off
18. Use a range of IT systems to communicate with internal colleagues and patients
19. Develop ideas and suggestions to improve our systems and processes
20. Undertake any other additional duties appropriate to the post as requested by the management team.
Qualifications
Proven experience in a clerical or administrative role within a healthcare setting is preferred.
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent computer skills, including data entry accuracy and familiarity with office software.
Exceptional phone etiquette with strong interpersonal communication abilities.
A proactive approach to problem-solving and the ability to work independently as well as part of a team.
A commitment to maintaining confidentiality and adhering to healthcare regulations.
