Job Description

Tardis Surgery



The Tardis Surgery is one of 7 practices within the Moorlands Rural PCN.

We currently have 5,900 patients on the practice list; the surgery is set in a semi-rural town,
We provide services to two nursing homes and the Moorlands Neurological centre providing weekly visits to the homes and monthly MDTs. We are also a dispensing practice serving our patients who live more than a mile away from a community Pharmacy.

We are a very friendly team and try to support our staff to continue to develop.
Our staffing consists of:
2 GP Partners, ANP, Practice Nurse, HCSW, Dispensers, Clinical coder, Clinical Administrator, Reception/Admin team and a management team.

We also have support from our Moorland Rural PCN ARRs team which consists of:
FCP, MHP, STR worker, Pharmacy team, Care coordinator, HWBC, counsellor, and social prescribers.

We engage closely with our local community getting involved with various activities e.g. supporting the local High school with careers days, primary school wellbeing morning etc.

We have a very committed PPG who work alongside us to ensure we are delivering high quality person centred care.

Overview of the role



To be responsible for undertaking a wide range of Reception and administration duties.
Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information, requests and assisting patients as required.
To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.
To care navigate patients appropriately. Dealing with patient requests for test results.

Duties and Responsibilities



Greeting patients warmly and assist with the check-in process. Schedule appointments and manage the appointment calendar effectively. Answer phone calls promptly, care navigating to the most appropriate service, addressing enquiries. Accepting letters, completed forms, specimen bottles etc. Maintain patient records accurately, ensuring confidentiality and compliance with data protection regulations. Process registration of new patients, temporary residents, emergency patients and those requiring immediate treatment Chaperone duties during clinical examinations Collaborate with medical staff to ensure seamless patient flow throughout the practice. Word processing tasks Assist with billing enquires and coordinate with insurance companies when required. Photocopying and sending medical notes as requested Ensure the reception area is tidy and well organized at all times. To organize and ensure the completion of private work within the practice Post, franking mail, ordering stationery. Referrals -process day to day-prioritise 2ww The above list is not exhaustive Dealing with requests for visits appropriately Dealing with queries from patients and other agencies. Telephoning patients, hospitals, clinics, etc. for test results and to make appointments. Ordering ambulances, both routine and emergency. Taking messages, recording details accurately in the appropriate manner and ensuring they get passed on to the appropriate person Partake in audits as directed by the Practice Manager Action incoming emails and correspondence as necessary Scan patient related documentation and attach scanned documents to patients' healthcare records. Complete opening/closing and front desk procedures in accordance with the duty Rota Cover the enhanced access clinics as per specified Rota To work additional hours, cover periods of annual leave and sickness Support the Senior receptionist in producing and maintaining the duty Rota. Support the Practice Manager with administrative tasks. Maintain the promotional material on the allocated noticed boards and in the waiting room.

Training



All training for the Reception and Administration work will be provided by the dedicated mentor in the practice. We will ensure competencies are met for all areas of work and paperwork completed to ensure that the mentor is happy to sign off the apprentice. We will utilise the Staffordshire training hub for on going courses e.g Care navigation etc. Alot to the training is built in to the day to day work and shadowing of other staff members is a good way of picking things up and to develop a good foundation of knowledge base. We will also utilise our PCN staff to show diversity in roles and how important it is for the Reception/Administration team to understand these roles and what they provide to General Practice
Business Administrator Apprenticeship Level 3 with Clinical Coding delivered by PMA Ltd. This will include Functional Skills in English and maths if required.

Qualifications



GCSE or equivalent English (Grade Grade 4/C or above) desirable GCSE or equivalent Maths (Grade Grade 4/C or above) desirable

Annual wage



17,550 per annum

37.5 hours per week
