Job summary




The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 7,000 MOD Civil Servants located at over 300 locations. 3 Royal School of Military Engineering Regiment (RSME) is a Subsequent Trade Training military training establishment that delivers a variety of courses to a diverse population, including trainee soldiers, under 18 trainees, Reservist soldiers and serving soldiers and officers of all ranks. There is a wide remit to deliver welfare, pastoral and administrative care to trainees and our permanent staff.


We are looking for a motivated and driven individual to join the welfare department in the role of Welfare Clerk. People are the Army's most important asset. The Welfare Department is the unit's 1st line welfare provider, delivering a comprehensive and confidential welfare service responsible for the needs of individuals and families, and supporting the Chain of Command.

Job description




The Welfare Clerk is a vital support position within the Regiment, with a varied range of responsibilities. The post will not only support Regimental personnel but also their families too. The Welfare Clerk serves as the initial point of contact for our people, offering support, sound advice, and guidance as well as signposting individuals to additional resources as required. The successful individual will be friendly, well-organised and adaptable to work alongside other civilians and military personnel, providing an invaluable contribution to the delivery of welfare.


The post holder will be responsible to the Unit Welfare Officer and will act as the single point of contact for the everyday running of the welfare office in Minley.


Key Areas of Responsibilities:

Administration and maintenance of document library site, team diary, electronic and manual filing systems in accordance with policy and legislation Use Microsoft Word and Excel to build, update, and format documents, and spreadsheets Control the use of the Contact House, including, booking, accounting for all deposits, and booking fees, issue and collection of keys and coordinating the cleaning service after use Provide local information to soldiers and their families, making the best use of department notice boards and available literature/information In the absence of the Unit Welfare Officer provide a point of contact and welfare information to soldiers and dependants and offer sign-posting advice in line with welfare training and experience Responsible for the distribution of welcome packs to new arrivals and booking arrivals and clearing appointments with the welfare team Maintenance of OFSTED, audit data packs and compilation of various reports and returns General administrative and clerical tasks for the Welfare Department

Person specification




We are looking for a motivated and driven individual to join the welfare department. You should be friendly, well organised and adaptable, able to work on your own initiative and as part of a team. You will be able to remain calm when dealing with upsetting or fast-paced situations and be able to exercise good judgement.

Essential:



Computer literate, proficient in Microsoft Word and Excel Strong organisational skills and attention to detail Excellent communication and interpersonal skills, able to work with and alongside Civilians, military personnel and other organisations Ability to handle sensitive information with discretion and maintain confidentiality Good written skills able to take comprehensive case notes

Desirable:
