Job Description

We're looking for an enthusiastic, reliable, and client-focused Assistant Clinic Manager to join our growing CQC registered, Doctor led, skincare and wellness clinic in Central London. This is a fantastic chance to be part of an expanding business, especially as we prepare to open a new clinic location. You'll provide essential support to the Practice Manager and work closely with our clinical and front-of-house teams.

The ideal candidate will have strong leadership and administrative skills, a commitment to excellent customer service, and a genuine passion for skincare, wellness, and patient care.

Role Overview



As Assistant Clinic Manager, you'll help run the clinic smoothly every day, ensuring patients receive an outstanding experience. You'll manage staff, maintain high service standards, support operations, and contribute to business growth. Working alongside the Practice Manager, you'll oversee clinical and front-of-house teams, helping the clinic thrive. There's clear potential to progress to Clinic Manager for the right candidate.

Key Responsibilities



Operations & Leadership



Support the Practice Manager in day-to-day clinic operations and the setup of our new location. Assist in managing clinical and front-of-house teams. Oversee bookings, staff schedules, and room utilisation to optimise efficiency. Manage staff performance, sickness, absences, training, appraisals, and development plans. Ensure smooth communication between clients, practitioners, and management. Maintain compliance with clinic policies, protocols, and CQC regulations.

Client Experience & Front of House



Welcome clients warmly and ensure a 5-star experience from enquiry to follow-up. Handle calls, emails, and in-person enquiries professionally and empathetically. Coordinate appointments, process payments, and manage client records accurately and following CQC guidelines. Confidently up-sell and cross-sell treatments and products to meet targets. Manage client feedback and complaints promptly and effectively.

Business & Administrative Support



Assist the Practice Manager in meeting financial and operational goals. Monitor stock and liaise with suppliers. Track revenue, expenditure, and clinic performance. Contribute to marketing and promotional campaigns. Generate reports and provide insights into trends, performance, and opportunities.

Skills & Experience



Essential



At least 1 year in management, assistant management, or senior front-of-house roles in medical, aesthetics, or beauty clinics. Proven experience in customer service and team coordination. Strong administrative and IT skills (Microsoft Office, clinic software). Excellent communication, organisational, and interpersonal skills. Commercially aware with confidence in sales and revenue targets. Able to thrive in a fast-paced environment with strong attention to detail.

Desirable



Experience in aesthetic or medical practice management. Beauty, skincare, or aesthetics qualifications. Familiarity with CRM system Zenoti. Experience supporting multi-disciplinary clinical teams.
