Job Purpose
The role will support the delivery, coordination, monitoring and reporting of Planned (PPM) Maintenance, Reactive Maintenance, Project work, Lifecycle works, Contract Variations and Small works to Clients in a customer focussed and professional manner.
The post holder will work collaboratively with local management and other FES FM staff on the operational management and service delivery of the FES FM Contracts to meet the business and contract objectives.
Work to achieve coordinated service delivery of the Contract obligations.
Interfaces with Client representatives effectively and clearly in a timely manner.
Key Responsibilities:
To ensure the satisfactory performance of all tasks for which he/she is responsible including:
Service Delivery
In conjunction with the Operations / Contract Manager, manage, monitor and deliver all relevant and agreed outputs, specific to the contracts under their remit, which may include, but not limited to: assisting in the preparation and execution of management plans, operational programmes and plans, contract deliverable obligations and PPM Planners.
Day-to-day management of teams for the delivery of the contract operational activities under your remit: PPM, Reactive Repairs, Project works and Lifecycle works programmes; monitoring and professional oversight of all works to ensure satisfactory quality levels.
Provide technical input on project schemes/special projects as required by business needs.
Monitoring and managing the emergency on call service as required. (24 hours per day 365 days per year), including escalation arrangements.
Understanding contractual requirements and client expectations and assisting the CM to ensure all services are delivered to meet the contractual requirements and client expectations.
Management:
Manage mobile / static teams of directly employed operatives and subcontractors when required.
Where requested, prepare reports on progress, budget, action plans, risks etc.
Assisting in the monitoring, management and reporting contractual key performance Indicators for operational performance and contractual compliance.
Producing reports: to standard, quality and at intervals as determined by the Contract Manager.
Provision of and /or sourcing of suitable technical advice; responding to technical queries when required and solving problems within the scope of technical knowledge.
Deputising for the other Operations / Contract Manager when required.
Management of assigned FES FM staff in the account / contract delivery teams
Management of the workloads of FES delivery staff under your remit.
Effective sourcing and utilisation of materials and subcontractors.
Efficient and timely production of technical and cost information: Labour, Materials, Subcontract and equipment, to allow the production of accurate quotations by the Commercial Team.
Additional Works:
Pricing, management and delivery of additional works: Contract Variations, Quoted and Small Works andnew tenders.
Management of Lifecycle Works programme where agreed, delivered by the NEBU Operations team, to ensure they are completed on time, in budget and to the required quality levels.
Assist in the mobilisation of new contracts in line with agreed scope and performance.
Ensure compliance with contractual requirements
Undertake regular inspections, reviews and audits with the team to review:#
PPM's Planned v PPM's Completed, WIP and open work orders to ensure satisfactory completion of works and that all materials and labour costs are booked to the work order.
Quality of service provided, and Client satisfaction
Review and monitor contract compliance, to meet the contractual and Client requirements, including retention and filing of relevant records;
Maintain an awareness of FES FM's Policies, Procedures and objectives related to the successful delivery of the maintenance service.
Operate effective risk management: adhering to established controls, procedures, health and safety systems, audit's etc. which ensure that services are compliant with legislation and that contingency plans are in place.
Assisting CM to ensure agreed contractual obligations are met and targeted commercial performance on contracts under your remit are achieved.
Undertaking appraisals / CPD processes for staff designated within your teams;
Identify and procure training for team members, including Apprentices;
Ensure staff are inducted, trained and directed to operate to company standards and processes;
Day to day responsibility for quality, environmental and health & safety issues at each of the sites for which you are responsible in compliance with company policies and arrangements including the effective closing out of IMS T2 audit action plans.
To operate at all times with safe working practices with due regard to Health & Safety Regulations, COSHH, Control of Infection and Waste Disposal etc. in accordance with legislative requirements and policies and procedures of FES FM.
Assist in the management of Company vehicles, tools, equipment, PPE & uniform, in line with the company policies.
Liaison with customers' representatives at the operational level, such that the services are delivered effectively;
Assist in the development of Client relationships; supporting the development & networking with budget holders, decision makers and sponsors to enhance and maintain long term relationships.
Assist in the development of customer satisfaction and maximising the effectiveness of resources.
Assisting in Customer Relationship Management (CRM), in line with Company Objectives
Essential Hiring Criteria:
Candidate will ideally hold a relevant degree or professional qualification in a Facilities / Estates / Building / Mechanical Engineering / Electrical discipline or Technical qualifications and suitable experience.
IOSH Managing Safely or NEBOSH National Certificate, or equivalent; or CITB site management or other recognised Safety Training Scheme;
Postholder must hold a full current driving license and be willing to travel;
Minimum of 3 years managerial experience in Mobile Maintenance or other Technical, Supervisory or Managerial role
The post holder should display the following competencies:-
Prepare Costings, Quotations, budgets, etc. and manage expenditure to deliver favorable outcomes
Communicate effectively and professionally with client representatives at all levels
Sound knowledge of industry best practices and developments in technical, operational and facilities management.
Sound technical knowledge of facilities and / or building services with knowledge of IEE Regs, GASSAFE, F-Gas, HVAC, and Building and Planning Regulations.
Experience liaising with FES FM helpdesk and Client helpdesk on related work.
Ability to manage projects to agreed timescales and produce written reports.
Practical problem-solving skills.
Ability to plan and organize workloads to meet deadlines that can be unpredictable and cause conflicting demands.
Commercial awareness in regard to contractual arrangements, contract financial performance and the interpretation of contract documents.
A strong technical focus
Ability to communicate clearly, effectively and timeously with customers and colleagues alike.
Appropriate computer / IT skills and knowledge of CAFM and other software systems.
