Role Overview





As the Assistant Front Office Manager, you will support the Front Office Manager in overseeing daily front office operations, ensuring the highest standards of guest service, team management, and operational efficiency. You will work across reception, concierge, and night teams, leading by example and acting as shift duty manager when required. Your role is key to delivering exceptional guest experiences, fostering team development, and upholding the hotel's values and luxury standards.

Competent computer literacy and familiarity with PMS systems (training provided if required). Ability to remain calm, courteous, and efficient under pressure. Reliable, punctual, and professional with a strong work ethic. Flexible approach to working hours, including early mornings, evenings, weekends, and bank holidays. Previous experience in a similar hospitality role is desirable.

Key Responsibilities:




Welcome and assist guests at the hotel reception and public areas, creating positive first and lasting impressions. Manage check-in, check-out, and guest arrival/departure flows, ensuring speed, accuracy, and personalized service. Address guest enquiries, complaints, and feedback promptly, diplomatically, and effectively, acting as an escalation point when needed. Ensure VIPs, returning guests, and special occasions receive appropriate recognition and tailored attention. Collaborate with other departments (spa, restaurants, golf, events, housekeeping) to anticipate and meet guest needs seamlessly. Support recruitment, training, coaching, and development of front office team members, including reception, concierge, and guest services. Supervise shifts, allocate duties, and maintain adequate staffing levels across all hours, including weekends and holidays. Monitor team performance, motivate staff, maintain high morale, and embody the hotel's culture of care, collaboration, and excellence. Participate operationally when required (e.g., registration desk, concierge, lobby duties) to maintain service levels. Assist with daily reporting, including occupancy, arrivals/departures, room status, guest satisfaction, and revenue metrics. Ensure accuracy and integrity of billing, posting, and ledger processes at the front desk. Monitor front office procedures for compliance with hotel policies, including cash handling, key control, security, data protection, and health & safety. Work closely with Reservations and Revenue teams to optimize room revenue, support upselling initiatives, and ensure effective room allocation. Conduct regular audits of front office systems, ensure robust shift handovers, and maintain readiness for emergency situations. Attend daily briefings and weekly/monthly meetings. Maintain a visible presence in front-of-house areas, ensuring reception and guest spaces reflect the hotel's luxury standards.
