Your Role



Responsible for ensuring the smooth and efficient operation of administrative tasks within the office, supporting the site team, and coordinating between different departments.

Responsibilities



Administrative & Office Upkeep:



Assisting with office operations and ensure smooth workflow

Document Management



Organizing and maintaining project files (received files, client correspondence) Handling incoming and outgoing correspondence Filing reports, safety records, and changes Completing PQQs and client forms

Project Coordination Support



Assisting project managers with schedules and timelines Communicate with clients, conveying delivery dates and timescales. Preparing meeting agendas, taking minutes, and following up on actions

Communication & Liaison



Acting as a go-between for internal teams, clients, subcontractors, and suppliers Managing emails, calls, and scheduling meetings Communicating updates or changes to relevant parties Take a lead organising and attending company events, including networking events hosted by others Establish and maintain the companies education & training needs. Ensuring yearly training requirements are met Establish and maintain regular communication with the company's internal and external marketing teams. Supporting where required

Procurement & Inventory Support



Assisting in ordering materials and tracking deliveries Coordinating with suppliers and vendors Keeping inventory records up to date

Financial Admin Support



Assisting with timesheet collection and policing, ensuring they are submitted by surveyors on time and correctly.

HR & Compliance Tasks



Helping onboard new employees or subcontractors Maintaining records for certifications, licenses, and training Ensuring site compliance documentation is current (e.g., safety manuals, RAMs, etc.)

Office Management



Keeping the office supplies stocked and organized Maintaining a clean, professional workspace Supporting management and field teams with day-to-day needs Assisting with the day to day fleet management Assist with regular equipment checks and the day to day checking in/out of equipment. Ensuring they are completed on a daily basis

Training, Mentorship and Events



Keeping on top of employees training and certifications. Taking a lead organising work experience & T-level students in supporting their work placements Liaising with the colleges we work with to assist in ensuring T-Level placements succeed and get the best out of their time with us. Assisting with supporting events that we're involved with at colleges and other educational settings Supporting our Business Development Team in attending and supporting our events & attending networking events on the companies behalf.

Essential Skills:



Proven ability in administration or a similar role Strong communication and interpersonal skills Strong telephone manner and ability to communicate in this way Highly organised, self-motivated, and driven by results IT literate Strategic mindset with an eye for opportunities Willing to travel occasionally attend events or as needed

Desirable:



Previous experience within the construction or surveying sector Relevant qualifications in administration or related fields Understanding of surveying or construction principles Full, clean UK driving licence

Pay: 25,000.00-30,000.00 per year
