We are seeking a highly organized and proactive Assistant Administrator to support our team with a variety of administrative and project coordination tasks. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency in various software tools. The Assistant Administrator will play a key role in ensuring the smooth operation of daily activities, supporting executive staff, and managing administrative workflows.
Responsibilities
Administrative & Compliance Support
Support the Registered Manager with daily administrative and compliance tasks.
Maintain accurate and up-to-date records for young people, staff, and the service.
Conduct regular audits of case files, risk assessments, policies, and training logs.
Track and update staff supervision, induction, and training compliance.
Assist in preparing for Ofsted inspections, local authority audits, and internal quality assurance reviews.
Ensure documentation aligns with Ofsted and organisational standards.
Support recruitment, onboarding, and HR document management.
Office & Project Coordination
Manage filing systems, digital folders, and document control.
Schedule meetings, coordinate calendars, and prepare agendas and minutes.
Handle email correspondence, phone calls, and inquiries professionally.
Support event planning and training sessions for staff.
Track deadlines and assist with reports, updates, and ongoing projects.
Manage document signing and updates via DocuSign or similar tools.
Support basic bookkeeping tasks and expense tracking using Xero or similar tools.
Maintain accurate records for petty cash, mileage, and office expenditure.
Use Microsoft Office (Word, Excel, PowerPoint) cloud Workspace for administrative work.
Skills
Proven experience in office administration, compliance, or assistant roles (preferably in social care, supported accommodation, or education).
Strong organisational and multitasking abilities.
Excellent written and verbal communication skills.
Attention to detail and accuracy in all administrative duties.
Strong IT skills, proficiency in Microsoft Office Suite, Cloud Workspace, and digital filing systems.
Experience with care management software (desirable).
Understanding of safeguarding, confidentiality, and data protection principles.
Professional, adaptable, and able to work independently or within a small team.
Experience and Qualifications
Essential:
Minimum 1 year of experience in an administrative or compliance role (social care, supported accommodation, or education preferred).
Experience handling confidential documentation.
Desirable:
NVQ Level 3 or above in Health & Social Care, Business Administration, or related field.
Knowledge of Ofsted regulations or social care compliance frameworks.
Working Hours
Monday to Friday, 9 AM - 5 PM (flexibility required occasionally).
In-person, based at our office or service locations.
