Bar & Functions Manager

Job Description

The management and oversight of the club's bar and associated activities (especially functions), ensuring effective front of house services to all club customers and visitors. Working with the Club Management Committee (CMC), to provide operational direction and management of staff and sustainable revenue performance.

Please note that the hours may change seasonally slightly but the post will always have a minimum of 15 hours per week. There is also scope for 'overtime' in actual bar hours on a supervisor rate of pay.

Key Accountabilities:



Inventory Management:

To manage the Bar's inventory including: Brewery ordering Booker Wholesale ordering Gas ordering Other purchase of bar related goods as required To manage and maintenance the bar cellar including oversight and processing 'goods-in' delivery orders. To ensure front of house inventory is appropriately maintained and restocked as and when required.

Safety and Hygiene Standards

To ensure a safe and clean operational environment e.g glass collection, beer garden / patio ash tray emptying. To lead and ensure, in conjunction with the bar team, a safe and clean bar environment including weekly cleaning of the Bar area and ensuring clean glassware. To ensure the Bar and Club House fulfil the requirements of the Health and Safety Act (1974). To maintain and undertake a weekly clean of all beer lines ensuring compliance with hygiene standards. To manage the Club House cleaner rota to ensure a safe and clean operating environment. To liaise with club cleaners as required.

People Management

Manage a team of zero hours contract bar staff, scheduling including the maintenance of an appropriate level bar staffing pool to meet the scheduled cricket and events calendar, including cover for holidays. To maintain a staff rota to meet the needs and level of demand for cricket and event activities. To ensure all bar staff are trained as required for their deployed duties thereby fulfilling employer duties and requirements of the Heath and Safety Act (1974). To issue contracts to bar staff ensuring compliance with employment law legislation e.g. employer and address, job role, location of work, hours of work, pay rate, holiday payment information, probation period etc To ensure that staff are inducted and trained on appointment and on an ongoing basis as required. To collect, process and maintain bar staff personal details e.g. address, contact, payment details in a safe and secure manner to ensure compliance with Data Protection Act (2018). To validate bar staff payment claims and ensure effective liaison with the payroll function.

Management & Administration

To manage the till system and payment records. To manage and issue till 'fobs' as appropriate. Aligned to cricket and planned social events, issue weekly opening hours to the Social Media Manager by each Friday for the week ahead commencing on the following Monday. Regular liaison and updates with the Functions Manager to ensure appropriate ordering, opening hours and bar staffing for private functions and club events Manage and liaise with Brewery contacts as appropriate.

1. Management & Leadership



To lead the shift, managing bar staff on almost all "functions" - the club typically hosts 80+ functions per year, function management representing over 50% of the role. Manage the operational functions of the Club's bar. Aligned to cricket and planned social events, issue weekly opening hours to the Social Media Manager by each Friday for the week ahead commencing on the following Monday. Regular liaison and updates with the Functions Manager to ensure appropriate ordering, opening hours and bar staffing for private functions and club events Manage and liaise with Brewery contacts as appropriate. To provide appropriate reports and updates to CMC as required To attend CMC upon request (meetings are monthly on 2nd Thursday and in the evenings) To be a premises key holder, open and lock the premises in conjunction with other key holders.

2. Financial Responsibilities



Manage the payment and till system with appropriate cash management Maintaining and actioning the bar staff payroll in conjunction with the Club Treasurer

Qualifications



Essential None

Desirable Level 2 (GCSE) Maths and English qualification

Experience



Essential

Successful track record of working in the hospitality industry include bar work.

Experience of payment systems and cash management.

Experience of ensuring a clean and safe work environment.

Experience of working in a customer service focussed environment

Desirable

Previous supervisory role or experience.

Rota planning, managing and deploying a team.

Inventory management and ordering.

Working with wider internal and external stakeholders.

Experience of maintaining stock levels and associated ordering requirements

Ability to maintain staff
