Job Description

The Bid Coordinator plays a vital role in supporting the Group Bid Team to produce compelling, high-quality submissions that reflect RE:GEN Group's values, capabilities, and impact. Working across multiple bids and opportunities, the Bid Coordinator provides a pivotal and supporting role in coordinating all necessary information relating to pipeline activity, current opportunities and solution driven responses.

RESPONSIBILITIES



Coordinate information received through tender portals, emails, and information notices, and process this information accordingly and to a high and consistent standard. Maintain tender portals for all Group companies, including updating insurances, accreditations and financial information. Support the Senior Bid Manager in preparing and managing the bid process, including supporting bid launch meetings, development of bid plans and deliverable schedules, and processing all tender and post tender clarifications. Support the Bid Management Team in the completion of Standard Selection Questionnaires, ensuring all content is up to date and compliant. Support the Bid Management Team with the end-to-end bid process, ensuring all deadlines are met and documentation is compliant and complete. Support with document control for each bid, including downloading and checking information, versioning, uploads of appendices, etc. Support the Senior Bid Manager in maintaining the Bid Pipeline Tracker to ensure visibility of current and upcoming opportunities. Track and support the submission of opportunities through all stages of their bid lifecycle. Liaise with internal departments (social value, commercial, operational, delivery) to support the bid team to gather accurate, up-to-date content. Maintain a bid library of up-to-date content, project experience, and standard responses for future reuse. Conduct background research on clients, competitors, and contracts to inform tailored bid strategies. Assist in the development of visual and written content that communicates RE:GEN's commitment to quality, sustainability, and social value. Support continuous improvement by capturing lessons learned from each bid.

EXPERIENCE & SKILLS



Experience in a bid coordination, proposals, or document management role, (ideally within construction, housing, or regeneration sectors, although we will consider candidates outside of this sector). Strong organisational and time management skills, with the ability to manage multiple deadlines and priorities. Excellent written English and attention to detail. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat, and document formatting tools. Ability to present complex and technical information to various levels within the business. Familiarity with procurement portals and submission platforms (e.g., Proactis, Jaggaer, Delta). Ability to work collaboratively and communicate effectively across departments.
