Role Overview
The Bookings, Allotments and Administrative Support Officer is responsible for coordinating facility bookings and managing allotment administration and support the administration of the Parish Council. The role ensures efficient scheduling, excellent customer service, accurate record-keeping, and smooth communication between service users, staff, and external partners.
Key Responsibilities
Bookings Administration
Manage and maintain bookings for community facilities, halls, meeting rooms, or other venues.
Respond to enquiries in person, by phone, and by email.
Maintain booking calendars and systems, ensuring information is accurate and up to date.
Issue booking confirmations, invoices, and supporting documents.
Liaise with caretakers, maintenance teams, and event staff to ensure all arrangements are in place.
Schedule and complete hall viewings
Allotment Administration
Maintain allotment waiting lists, tenant records, and plot allocations.
Process applications, renewals, terminations, and tenancy agreements.
Respond to allotment enquiries and support tenants with advice and information.
Coordinate inspections, plot condition checks, and communication with allotment associations or site representatives.
Issue invoices for allotment fees and track payments.
Administrative Support
Provide general administrative support to the Clerk and Deputy Clerk to ensure the smooth running of council operations.
Help manage correspondence, including logging incoming mail, drafting routine responses, and forwarding enquiries to the appropriate officer.
Maintain and update council records, registers, and filing systems (digital and paper).
Provide reception and front?office support, greeting visitors and handling general enquiries.
Assist with website updates, social media posts, and public notices where required.
Provide administrative support for community events, consultations, and engagement activities.
Provide support in planning and coordinating council events
Managing and maintaining the book corner
Skills & Competencies
Strong organisational and administrative abilities.
Clear and confident communication skills.
Accuracy in record-keeping and handling information.
Ability to prioritise work and manage multiple tasks.
Customer-focused, friendly, and professional approach.
Proficiency with booking systems, spreadsheets, and general office software.
Experience & Qualifications
Experience in administrative or customer-facing roles.
Experience in working with a Parish or Town Council (desirable)
Knowledge of bookings management systems or facility scheduling (desirable).
Experience with allotment services, local government, or community services (advantageous).
Competence with Microsoft Office or equivalent digital tools.
