As we continue to expand our operations, we are seeking a Bookkeeper / Administrative Assistant to play a key role in supporting our financial processes and administrative functions. This is a dynamic and varied position suitable for a self-motivated individual who enjoys working in a fast-paced environment and is looking for a flexible role within a supportive team.
Position Summary
This is a hybrid role that will support both our finance and operations teams. You will be responsible for maintaining accurate financial records, assisting with administrative tasks, and ensuring the smooth day-to-day running of our office. You will work closely with the director.
Key Responsibilities
Maintain accurate financial records using Sage
Process purchase and sales invoices in a timely manner
Perform bank reconciliations and credit card statement matching
Manage accounts payable and receivable, including payment runs
Reconcile supplier statements and address queries or discrepancies
Track project-related costs, expenses, and purchase orders
Prepare monthly financial reports for management review
Assist with VAT returns and year-end documentation in coordination with accountants
Provide day-to-day administrative support to the management team
Answer and direct phone calls, respond to general email enquiries
Maintain office filing systems, contracts, and compliance documentation
Support with procurement, supplier onboarding, and material orders
Schedule appointments, organise meetings, and coordinate deliveries
Assist with onboarding documentation and compliance records for subcontractors
Update internal systems and maintain accurate job files
Support tender submissions, pre-qualification questionnaires (PQQs), and H&S documentation as needed
Experience
Proven experience in a bookkeeping or finance administration role (ideally within construction, property, or a similar sector)
Proficient with accounting software such as Xero, QuickBooks, or Sage
Strong Excel and Microsoft Office skills
Excellent attention to detail and accuracy
Organised and proactive, with the ability to manage competing tasks independently
Strong communication skills, both written and verbal
Ability to work discreetly and handle confidential information
Experience with document control, subcontractor compliance, or project admin is advantageous
