About the Role



We are seeking an experienced Bookkeeper who will also support the business as an Operations Assistant. This is a fully on-site, office-based role and requires a strong financial understanding, excellent computer skills, and the confidence to work in a client-facing capacity, dealing directly with customers, suppliers, and external accountants.

The role forms part of a centralised finance and operations team supporting multiple dental laboratories across the group. You will work across several businesses rather than being based in or supporting a single laboratory, requiring strong organisational skills, adaptability, and the ability to manage multiple sets of financial and operational information simultaneously.

Bookkeeping & Financial Processing Responsibilities



You will assist with and manage day-to-day bookkeeping activities across multiple businesses, with a primary focus on processing and reconciling invoices, expenses, and payments, managing supplier accounts, and ensuring financial records are accurate, complete, and kept fully up to date.

Your responsibilities will include carrying out statement reconciliations, managing accounts payable activities such as invoice processing, supplier account management, and invoice payments, and maintaining clear and well-organised financial records across the group.

You will also support credit control activities where required, including liaising with customers regarding account queries or outstanding balances in a professional and tactful manner, but this will not be the sole or dominant focus of the role.

This role requires strong computer skills and confidence working across multiple systems, including accounting software, spreadsheets, and internal tools. You should be comfortable learning new systems and using technology efficiently to manage workloads and maintain accurate records across multiple businesses.

You will deal directly with suppliers and external accountants, responding to queries and providing accurate financial information as required. Experience using Xero is preferred but not essential.

Operations, Admin & Client-Facing Support



Alongside financial responsibilities, you will provide operational and administrative support with a strong client-facing element. This includes but is not limited to reception duties, acting as a first point of contact for incoming calls, answering and redirecting calls professionally, and handling enquiries from customers, dentist customers, and practice managers.

You will represent the business in a professional and helpful manner at all times, providing clear communication and support to clients while ensuring queries are dealt with efficiently or passed to the appropriate team member.

Operational support will also include, but is not limited to, tracking work schedules and drivers, monitoring fuel usage and expenses, and maintaining accurate operational records.

You will also obtain, maintain, and organise compliance documentation when required, including GDC, MHRA, Health & Safety, and DAMAS, ensuring records are accurate, current, and compliant across the group.

About You



You will have a strong financial understanding and be confident processing invoices, expenses, payments, and reconciliations. You must be comfortable dealing directly with customers, suppliers, and accountants, and capable of communicating clearly and professionally.

You will demonstrate a flexible, hands-on approach and actively support business growth by contributing wherever needed, including routine, administrative, and operational tasks. You will be organised, reliable, proactive, and able to manage multiple responsibilities with a high level of accuracy and attention to detail.

Ideally, you will have at least two years' accounting or bookkeeping experience, be familiar with Xero accounting software, and demonstrate a consistently high level of accuracy and attention to detail. Experience in a dental or healthcare environment is strongly preferred, particularly within regulated or multi-site businesses.
