We are seeking a detail-oriented Bookkeeping Assistant to provide bookkeeping services across our group of estate agencies. Based in Leigh, Lancashire, you will work closely with the Office Manager and use the Jupix property management system to process landlord payments, manage contractor invoices, and ensure smooth financial operations for a large portfolio spanning multiple branches.
Responsibilities
Landlord Payments:
Use Jupix to accurately process monthly and ad hoc rental payments to landlords across the group.
Assist with reconciling rent receipts and applying deductions such as management fees and contractor costs.
Maintain up-to-date digital records of landlord accounts and statements for all agencies within the group.
Contractor Invoices:
Enter and process contractor and supplier invoices in Jupix for all managed properties.
Liaise with the Office Manager and property managers across branches to confirm completed works before payment.
Ensure timely payments and correct allocation of costs.
Financial Administration:
Keep accurate transaction records within Jupix for all agencies.
Support the Office Manager with bank reconciliations, financial reporting, and audit preparation.
Assist with documentation for annual accounts and compliance checks.
Compliance & Best Practice:
Ensure all payments comply with relevant regulations including client money protection and ARLA/trading standards.
Maintain confidentiality and security of client and company financial data.
Team Support:
Respond professionally to payment queries from landlords and contractors across the group.
Support the Office Manager and wider teams with ad hoc financial and administrative tasks as required.
Experience
Experience in bookkeeping or accounts administration, ideally within property or estate agency environments.
Familiarity with Jupix or similar property management/accounting software preferred; training provided.
Excellent attention to detail, numeracy, and organizational skills.
Strong communication skills and ability to collaborate across multiple teams.
Knowledge of industry compliance (client money protection, ARLA, trading standards) is advantageous.
Qualifications
Bookkeeping or accounting qualification (AAT, ICB, or equivalent) preferred but not essential.
Previous experience in a similar role highly desirable.
