We're looking for a dynamic, responsible and reliable person who is passionate about working in an artists' studio building as part of a close-working team.
The principal responsibility will be maintaining and ensuring the smooth running of the Trust's buildings. This role requires both a high level of practical involvement in terms of maintaining the buildings and the administrative, organisational and communication skills needed to review relevant protocols and policies, oversee contractors, liaise closely with all our tenants and manage the tenancies and room bookings.
This is a great opportunity for an enthusiastic, experienced person to join our small team based at the iconic Porthmeor Studios in St Ives. The post-holder will work closely with the Director and Board of Trustees.
Key tasks and responsibilities:
Building Management:
Manage the upkeep and maintenance of all buildings.
Responsibility for building services including electricity, water, gas and telecoms, and arranging contracts with services providers.
Responsibility for maintaining the buildings' IT systems.
Take meter readings and arrange for tenants to be recharged.
Make regular inspections of the buildings, arranging for routine repairs and maintenance, including repainting external woodwork and Electrical Installation Certificate (fixed wiring test).
Responsibility for arranging annual servicing of all building systems and services, including the central heating boilers, fire alarm systems, fire extinguishers, the lift and wood burning stoves, and co-ordinating and supervising contractors on site.
Arrange insurance cover for the Trust's buildings and operations.
Work with the caretaker and gardener to ensure regular cleaning of the common areas in each studio building and their surrounds, and arrange contracts for the disposal of waste and recycling.
Responsibility for maintenance of the Trust's cottages, including:
- Arranging the annual boiler service and delivery of the Gas Safety Certificate to the tenants, and five-yearly Electrical Installation Certificate (fixed wiring test.) Responsibility for the Cottage tenants, tenancy agreements and for arranging rent increases.
Administration:
Manage the administration for short and long term tenancy advertisements and application process, including organising studio viewings and selection panel meetings.
Draw up leases for long and short-term tenancies, and arrange for them to be signed by as appropriate.
Respond to external studio enquiries and maintain Mailchimp studio availability mailing list, and newsletters.
Regularly review Studio Notes to ensure they are kept up to date and reflect any changes made, and that tenants are informed about any changes.
Assist tenants with applications for Business Rates and Small Business Rates Relief, liaise with Cornwall Council and assist with Valuation Office Agency requests for tenancy information.
Room Bookings and Events:
Responsibility for the Borlase Smart Room: taking room and event bookings, and arranging event set up and take down.
Ensure hirers are invoiced.
Other
This role will be a primary keyholder and may be called upon for out of hours emergencies.
Weekend and out of hours work will be required from time to time.
As a team we ensure that holidays do not clash.
The role is based at the Trust office at Porthmeor Studios in St Ives, but as the Trust has studios in both St Ives and Newlyn, a driving licence and own transport will be helpful as travel to Newlyn will be required.

Essential:
? Experience of managing operations and/or facilities within a building.
? Good organisational skills and the ability to prioritise and meet deadlines.
? Good communication skills and the ability to work with a wide variety of tenants.
? Be able to work ?exibly, adapt at busy periods and react effectively to unforeseen circumstances.
? Good IT skills and use of Microsoft o?ce suite.
