Job Summary

The Business Operations Coordinator is a pivotal role supporting the Operations Manager and wider business in delivering operational excellence. This post is responsible for providing advanced administrative, sales operations, bid management, and procurement support. The successful candidate will be highly organised, commercially aware, and able to work cross-functionally to ensure the smooth running of business-critical processes.

Key ResponsibilitiesOperations and Administrative Support

Provide comprehensive administrative support to the Operations Manager and Operations team, ensuring efficient office management and process compliance. Manage diaries, schedule meetings, and coordinate logistics for internal and external appointments. Support onboarding for new staff, ensuring all documentation, systems access, and induction processes are completed. Maintain and update office records, files, and databases with accuracy and confidentiality. Prepare reports, presentations, and operational documentation as required. Monitor and order office supplies, liaising with vendors and service providers. Ensure compliance with health and safety and office policies. Proactively identify and address administrative gaps, suggesting and implementing improvements.
Sales Operations Support

Act as a key support for the Sales Operations function, including the preparation, formatting, and distribution of sales quotes, proposals, and order documentation. Manage the sales order process, including data entry, order tracking, and maintaining accurate records in CRM and procurement systems. Coordinate scheduling and logistics for sales meetings, customer calls, and bid reviews. Liaise with Sales, Finance, Legal, and Project Management to ensure smooth handoffs and timely completion of sales-related tasks. Support the Sales Deals Desk by gathering required documentation, tracking approvals, and ensuring compliance with governance processes. Maintain and update sales operations process documentation and templates.
Bid Management and Procurement Support

Support the bid management process for strategic, high-value, or complex deals, including assembling bid teams, coordinating inputs, and ensuring timely, compliant submissions. Assist with the review of tender documentation, extracting requirements and evaluation criteria. Maintain a bid calendar, tracking deadlines and submission milestones. Prepare and issue standard quotations for products and services, ensuring accuracy and compliance. Support procurement activities, including supplier onboarding, purchase order processing, and contract administration. Liaise with procurement platforms and portals (e.g. Digital Marketplace) as required. Maintain a repository of bid, contract, and quotation templates and support continuous improvement initiatives.
Skills and Experience

Proven experience in an operations, sales operations, or business administration role, ideally within a technology, managed services, or commercial environment. Strong understanding of sales processes, bid management, and procurement support. Excellent organisational and project management skills, with the ability to manage multiple priorities and deadlines. High level of commercial awareness and attention to detail. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and CRM/procurement systems. Excellent written and verbal communication skills. Ability to work independently and collaboratively across teams. Professional, proactive, and solutions-oriented approach.
