Front Desk Duties:
Greeting visitors and ensuring that the visitor's book is signed
Offering refreshments to visitors
Manage the front desk ensuring visitors remain in the reception area, taking messages when necessary.
General Housekeeping of the reception area, kitchen and meeting rooms.
Managing the Thursday petty cash routine ensuring minimum disruption is caused to the office.
Administrative Duties:
Minute taking for company meetings, ensuring they are typed up in a timely manner for the approval of the operational director or senior management.
Manage the office diary on a weekly and daily basis
Complete the weekly internal stationary orders for the residential homes and day centres.
Manage and complete checks on the company's car fleet.
Maintain the stationary room tidy and take stock of it on a weekly basis, preferably after doing the stationary orders.
On a Monday, gather and collate information for the repairs and Maintenance team, any purchasing required for the Units.
Keep up to date records of employee birth dates to send out company cards.
Assisting other departments with any other ad-hoc duties that are deemed necessary and other duties relevant to the job profile as set by the Company Director.
Person Specification:
Educated to A-level, or preferably Degree Level (or equivalent)
Experience of working on a reception and in a busy office
IT skills including Word / Excel / Power point / email
Personal Requirements:
Able to take Minutes
A meticulous attention to detail
Good Oral and written communication skills
Ability to communicate clearly and effectively
Multi-tasking within the office
Able to work as part of a team to deliver results
Desire to drive personal development
Must be able to drive
The scope of the Business Support Administrator role can be extensive and additional duties will include working closely with seniors.
The Company offers full training opportunities, 5 weeks + Bank Holidays annual leave p/a and a pension.
