We are seeking a versatile and hands-on Office Administrator to manage our daily administrative functions. The ideal candidate will be the backbone of our office, providing essential support across a wide range of tasks. You will be the welcoming face and the efficient heart of our office. This is a vital role that combines front-of-house customer service with essential administrative tasks to ensure the smooth day-to-day running of our operations. You will be responsible for creating a positive first impression for all visitors and callers while providing crucial support to the team, with a particular focus on purchase ledger activities, order processing, supplier management, and data extraction. You will be a key point of contact for both internal staff and external suppliers.

Key Responsibilities:

Act as the first point of contact for visitors, clients, and all office enquiries, Manage meeting room bookings, ensuring rooms are prepared with necessary equipment and refreshments. Receive and sign for deliveries and couriers, notifying staff promptly. Manage incoming and outgoing post and couriers. Issue visitor passes and manage site access in line with company security procedures. Handle general office correspondence, including emails and letters, taxi bookings, and other travel arrangements Maintain office filing systems (both electronic and paper-based), ensuring they are accurate and up-to-date. Process purchase orders for goods and services in line with company procedures. Liaise with suppliers to obtain quotes, negotiate prices, and build strong relationships. Manage the company's stationery, kitchen, workwear and other office supply inventories, placing orders to ensure stock levels are maintained. Coordinate with department heads to understand their purchasing needs. Process all supplier invoices, ensuring they are accurately coded, authorised, and filed ready for payment. Reconcile supplier statements and resolve any discrepancies promptly. Assist with the company's purchase ledger function. Support the finance team with basic bookkeeping tasks using appropriate software. Manage company employee expense claims, checking for compliance and accuracy. Responsible for the completion of all Job Cost Auditing processes. Process the transfer of job costs from the Shop Floor Data Capture into the Vision costing application. Ensure issues identified are raised with the relevant Departmental/Shift Managers or Customer Service Team. Actively support Company improvement initiatives and provide support to the management team with ad-hoc projects and tasks as required

Person Specification:

Proven experience in an office administration role. Experience in managing the full ordering cycle, from raising POs to dealing with suppliers. High proficiency in Microsoft Office Suite (especially Outlook, Word, and Excel). Superb organisational and time-management skills, with the ability to multitask and prioritise effectively in a fast-paced, varied workload environment. High level of accuracy and attention to detail. A proactive, "can-do" attitude and the ability to work both independently and as part of a team with a keen eye for detail. Discretion and confidentiality when handling sensitive information. Clear and effective communication Analytical thinking & Reasoning Problem solving Excellent literacy & numeracy skills
