Job Description

Established in 1637, Cowane's Hospital Trust is Scotland's oldest surviving charitable Trust and was founded by our benefactor, John Cowane. Primarily, the Patrons of Cowane's Hospital Trust offers relief for those in need by reason of age, ill-health, disability, financial hardship, or other disadvantage through the provision of housing within the local government area of Stirling Council. Secondary is the advancement of heritage through the maintenance, care, and preservation of our historic buildings in Stirling known as Cowane's Hospital and John Cowane's House.

Due to retirement, Cowane's are looking for a Business Support Executive to join their small, professional team. The post holder will report directly to the Master & Factor (Chief Executive Officer) and will support the business functions of the Trust, both administratively and specifically across the areas of residential lettings.

The Business Support Executive will:

Being first point of telephone/email contact to the public and professionals.

Open delivered mail, check and answer generic email enquiries or pass on as

directed.

File papers electronically, invoices, receipts, and correspondence as standard.

Oversee petty cash and physical bank pay-ins as and when required.

Maintain office supplies.

Support colleagues, administratively, as and when required.

Maintain all filing in relation to all properties.

Work closely with commercial agents, housing management, and the Council in

relation to existing and new tenants.

Issue rental lease agreements, check monthly rental statements and monitor any

arrears.

Manage and record the movement of keys to and from contractors, tenants, and

commercial agents.

Keep up to date with changes in legislation via the Scottish Association of Landlords

membership and notify colleagues accordingly.

Attend any necessary training both in person and/or online.

Minute taking/attend regular meetings and distribution of relevant minutes and

action points.

Essential:



The Business Support Executive must have administration experience across multiple business functions, ideally within the property sector, more specifically private lettings. It is important that you are highly organised with a service focus and the ability to multi-task. Strong admin and IT abilities are essential, and you should naturally work well in a team, or independently.

Whilst no formal qualifications are required, the following skills and/or experience are desired:

Experience:



The Business Support Executive should be able to demonstrate relevant prior experience in administration, property, lettings, and/or an estate agency role where they were responsible for (or strongly assisted) the running of a property/letting's portfolio.

They must be able to demonstrate strong communication skills, a hard work ethic and a flexible approach to their work and surroundings.

Desirable:



Previous experience in administration.

Experience and knowledge of property and lettings sector.

Ability to liaise with the public, contractors, and dignitaries.

Principle key holder.

Driving licence (essential).

The post is 20 hours, 3 days per week, on a shared flexible rota (Monday to Friday) basis. The FTE salary range is 25,000 to 27,000 DOE, plus generous pension contribution, and annual leave allowance.
