Business Support Manager - Role Profile



Position Overview



The Office Manager plays a pivotal role in ensuring the seamless operation of daily business activities. This position encompasses administrative oversight, financial coordination, customer service excellence, and support to senior management. The ideal candidate will exhibit strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities



1. Administrative Management



Office Operations

: Oversee daily administrative functions to maintain smooth business operations.

Reception Oversight

: Manage front desk activities, ensuring a welcoming environment for clients and visitors.

Logistics Coordination

: Address issues related to shipping, delays, and access, ensuring timely resolutions.

Supply Management

: Procure and manage office supplies, ensuring inventory levels meet operational needs.

2. Sales Order Processing & Purchasing



Order Management

: Process sales orders accurately and manage the purchasing workflow.

Supplier Liaison

: Coordinate with suppliers, maintaining accurate purchasing records and fostering strong relationships.

Sales Collaboration

: Work closely with the sales team to ensure timely order fulfilment and customer satisfaction.

3. Financial Administration



Ledger Management

: Handle sales and purchase ledgers, assisting with basic accounting functions.

Accounts Receivable

: Actively engage in chasing debtors and managing customer accounts to ensure timely payments.

4. Customer Support & Communication



Client Interaction

: Provide exceptional customer support, addressing inquiries and concerns promptly.

Relationship Building

: Build and maintain strong relationships with clients, enhancing customer experience.

Communication Hub

: Serve as the primary point of contact for customers, managing the main phone line and ensuring client needs are met.

5. Personnel & Executive Support



HR Administration

: Maintain personnel records and manage holiday requests, ensuring accurate documentation.

Executive Assistance

: Act as a Personal Assistant to the Managing Director, organising diaries and scheduling meetings efficiently.

6. Field Staff Coordination



Scheduling

: Oversee the booking system for installations and site surveys.

Staff Deployment

: Manage and deploy field staff for site surveys and related activities, ensuring optimal and timely resource allocation.

Qualifications & Skills



Proven experience in office administration and management. Strong organisational and multitasking abilities. Excellent communication and interpersonal skills. Proficiency in office software and systems. Basic accounting knowledge and experience with financial ledgers. Ability to work collaboratively with various departments and external partners.
Job Type: Full-time

Pay: 26,000.00-36,000.00 per year
