Job Description

Dark Horse Roastery is a small independent coffee roastery nestled on a quiet working farm in South Oxfordshire, here we build relationships with dedicated coffee producers, roast, educate and supply to like-minded businesses. Our sister company Horsebox Coffee Co runs coffee bars at fixed locations, and at events which showcase and promote our coffee and our other supplier partners, whilst nurturing relationships with our coffee loving community and building our brand.

We are seeking an enthusiastic and ambitious all-rounder in operations, admin & media to join our dedicated team. This is a varied and interesting role. You will be working closely with the founder / MD, and management team across both sides of the businesses; roastery and coffee bars. You will have support and the opportunity to further develop your skills and experience from our extended team of specialist consultants (Social Media, Marketing, HR, Operations, Accountants).

To support the Roastery Manager & Horsebox manager with operations and admin to ensure the smooth day-to-day running of both businesses.

Working with the Managing director to streamline business processes in HR, Finance and Supply Chain Management.

1. Administrative Operations

Manage daily administrative tasks (general emails, workshop bookings, customer enquires) Maintain business documentation, licenses, insurance, certifications ensuring they are up to date and accurate.
2. Financial Support

Process invoices, receipts, and track expenses using our Finance system

Support our accountant with bookkeeping and in preparing financial reports

3. Inventory & Supply Chain

Oversee all ordering and stock management at the roastery (except green coffee) to ensure stock levels are maintained

4. HR

Ensure our HR files are kept up to date Track staff hours and support our accountant with the payroll processes Administration for our recruitment, onboarding, and training processes (including City & Guilds paperwork).
5. Compliance & Health & Safety

Schedule / log regular equipment servicing and maintenance to ensure it is up to date

Media & Communications



Your role is to work closely with the founder/ MD to help grow and engage our audience by building brand consistency across our social channels, tell our story visually and verbally, and help drive customer loyalty.

1. Content Creation & Curation

Capture and edit high-quality images and short videos (reels/stories)

Engaging and on-brand captions for our content

2. Platform Management

Manage and schedule posts across Instagram, Facebook, TikTok and LinkedIn

Respond to DMs, comments, and reviews promptly and professionally

Monitor engagement metrics and adjust our strategy accordingly

3. Brand Storytelling

Maintain and evolve our voice and visual style.

Highlight our values at every opportunity

Introduce team members, origin stories of coffees, and customer features on our platforms

4. Campaigns & Collaborations

Monthly email marketing via Mailchimp

Coordinate with other local businesses or collaborators for shoutouts, giveaways, and partnerships

Help promote new product launches (e.g. new single origins, courses, subscriptions)

5. Update our website pages including:

Events

Team

Education / courses

Online shop

Ideal Skills & Experience

Strong organisational and multitasking skills Familiar with tools such as, Workforce, One Drive, Shopify Interest in specialty coffee and keen to master the skills of the professional barista Strong experience with Instagram, Facebook, and short-form video content Experience with photography and basic video editing skills Strong copywriting, proof reading skills Ideally experience with tools like Xero, Canva, Meta Business Suite, Mailchimp (but not essential)
