Recently rebranded, Pxa (pronounced Pik-sa) is an all-in-house marketing agency in the heart of Cardiff. Pxa was founded over a decade ago by CEO Darshan Patel, who was born and raised in Wales. Darshan decided the world needed a bit more personality in its pixels. During the rapid growth of our client base, we have the exciting opportunity to grow our Operations Team with a new Business Support Officer, who will assist the Head of Operations with operational and project management and financial management across the group, as well as business administration.

Role



We are looking for a bright, proactive, and hard-working candidate to join our friendly (and growing!) team. The ideal candidate will have a good understanding of business operations, financial management and administration and the drive to make an impact from your first day. You will work closely with the management team and will be a key player in the smooth functioning of the office, providing essential administrative and operational support, and supporting the wider Pxa group.

The ideal candidate will be used to a working in a fast-paced environment and managing multiple tasks with strong interpersonal skills, whilst maintaining effective and proactive communication with internal and external clients.

Key Responsibilities



As our Business Support Officer, you'll play a crucial role in supporting our teams, employees, and the wider business. Your responsibilities will include:

Executive & Administrative Support



Manage the company calendar, coordinate meetings, and handle appointment scheduling with professionalism and efficiency. Act as the first point of contact for incoming calls, emails, and messages, ensuring effective communication on behalf of the COO and broader leadership. Provide comprehensive administrative support, including document preparation, presentations, meeting notes, and follow-ups. Assist in documenting internal processes and coordinating meetings, ensuring effective tracking of decisions and action points via platforms like ToDoist.

Finance and Reporting Support



Perform daily bank reconciliations across multiple accounts and maintain the petty cash account. Support the preparation of routine financial reports, including profit & loss, balance sheets, and budget variance reports for the senior management team. Track and manage invoices, credit control, and payment approvals to ensure financial accuracy and timely processing. Support monthly, quarterly, and annual budgeting activities by providing up-to-date financial data and expenditure tracking.

Operational Efficiency and Compliance



Monitor and manage routine approval processes, escalate issues, and troubleshoot operational blockers in collaboration with team leads. Support adherence to company policies, HR procedures, and performance appraisal frameworks by maintaining related documentation and timelines. Ensure the business remains compliant with relevant workplace regulations, including health and safety standards.

Stakeholder and Supplier Engagement



Build and maintain positive relationships with suppliers, vendors, and service providers, ensuring quality, timeliness, and value for money. Assist in the coordination of recruitment processes and onboarding new staff in collaboration with hiring managers. Liaise with internal teams to circulate specialist tasks and follow up with external vendors where required.

Management Support



Prepare weekly and monthly reports, track operational trends, and support audits as requested by the COO, CEO, or Head of Operations. Conduct basic research, draft reports, and assist with special projects aligned with strategic objectives. Carry out other tasks as requested by the CEO and Head of Operations to meet business goals.

What You'll Bring



To succeed in this role, you'll need:

Excellent IT skills

, especially in Microsoft packages (e.g., Excel, Outlook, Teams), with the ability and willingness to quickly learn new systems. A basic

understanding of

Xero is a plus

Good customer service skills and the ability to understand customer needs. A proactive attitude and the ability to work independently on your own initiative. Secure bookkeeping skills and hands-on administration experience. Strong attention to detail and first-rate IT and systems skills.

Desirable Skills & Experience



While not essential, the following would be a significant advantage:

SME Business administration experience. Familiarity with financial procedures and regulations, as well as reporting requirements. Previous experience as a financial services administrator or in the financial services industry. Experience with intercompany/cross-billing. Understanding of HMRC processes and procedures.
