Job Description

Purpose of the Role:



As the Business Support Officer, you will play a key role in supporting the smooth and effective running of Capella's central operations. Your work will ensure strong governance, robust data protection practices, and high-quality organisational coordination--helping us deliver meaningful impact for the people we support.

You will be a trusted source of support to the Senior Management Team and Board, enabling strategic decision-making that advances our mission. Through strong administration, excellent organisation, and attention to detail, you will help safeguard our organisational integrity while contributing to a positive, collaborative charity environment.

Key Responsibilities:



Governance & Compliance



Maintain and update GDPR and data protection records, ensuring full compliance with legislation. Support the development, review, and implementation of organisational policies and procedures. Monitor compliance across departments and escalate issues as needed.
Assist with Net Zero data capture and sustainability reporting, contributing to Capella's environmental commitments.

Executive & SMT Support



Provide high-quality administrative support to the Senior Management Team (SMT), including diary management and PA support to the CEO. Coordinate Board and committee meetings: schedule, prepare agendas, collate papers, and take accurate minutes. Provide secretariat support to the board, ensuring governance processes are followed and records are maintained. Manage confidential information with discretion and professionalism.

Event & Project Support



Deliver executive-level event support, including planning, travel, logistics and documentation for internal and external events. Assist with organisational projects requiring administrative coordination, ensuring deadlines and quality standards are met. Support with booking venues, catering, and external planning.

Reporting & Documentation



Maintain accurate and up-to-date records for governance, compliance, and sustainability initiatives.

Prepare reports for SMT and Board meetings, including compliance summaries and progress updates.

Support data collection and analysis for organisational performance metrics.

Cross-Departmental Support



Collaborate with various departments to ensure alignment on data, policy, and compliance requirements. Provide administrative support for initiatives that span multiple departments, including digital transformation and sustainability projects.

Skills & Experience Required:



Strong organisational and administrative skills. Experience in governance or Board-level support. Ability to manage multiple priorities and deadlines. Proficiency in Microsoft Office and digital collaboration tools.

Desirable:



Experience in charity or non-profit governance. Familiarity with reporting and data capture Knowledge of GDPR and data protection principles.
