Join our dynamic and dedicated Adoption Business Support Team, where you will play a crucial administrative role in enhancing the adoption process and supporting One Adoptions mission to provide loving homes for children.
Hours: 22.5 hours per week (Mondays, Wednesdays, and Thursdays) - this pattern is to coincide with other part time hours and the work demands.
We are seeking an organised and detail-oriented Business Support Officer to join our Adoption Team. In this role, you will be responsible for preparing for adoption panels and ADM, ensuring all tasks are planned and deadlines are met. The predictable nature of the work allows you to know what to expect, providing structure and clarity to your role.
You will be expected to minute take at the Adoption Panels and provide clear and structured Minutes from the meeting, so confidence in Minute Taking is essential.
Key Responsibilities
Panel Booking Management:
Coordinate and confirm bookings for Joint Adoption Panels, ensuring all necessary paperwork is submitted on time and maintaining communication with social workers and their managers.
Email Communication:
Draft and send confirmation emails for various types of panel bookings, including Approval, Match, and EPP match, ensuring all required information and documents are attached.
Annual and Monthly Tasks:
Organise annual panel booking sheets, member rotas, and review schedules. Prepare and distribute panel paperwork, agendas, and meeting links on a monthly basis.
ADM Coordination:
Manage ADM booking requests, amendments, and withdrawals. Ensure timely distribution of paperwork and coordination with medical, legal, and agency advisors.
Recruitment Support:
Process expressions of interest, request references and DBS checks, and manage the onboarding process for new panel members.
Data Management:
Maintain and update various spreadsheets and databases, including panel stats, ADM cases, and contact lists.
General Administrative Support:
Regularly check and process adoption admin emails, prioritise booking requests, and respond to queries from adoption managers promptly.
Minute Taking:
Provide support by Minute Taking at the Adoption Panels. There are between one and two of these per month and they take place on a Monday and Thursday.
Qualifications and Skills
Proven experience in an administrative or business support role.
Proven experience in minute taking complex meetings.
Excellent organisational and time-management skills.
Strong attention to detail and ability to manage multiple tasks simultaneously.
Effective communication skills, both written and verbal.
Ability to work independently and as part of a team.
Proficiency in Microsoft Office Suite and data management systems.
