The following duties form the core responsibilities of this role. Other tasks may also be required depending on workload, staffing, and the needs of the practice. Greet all patients and visitors, in person or by telephone, politely and professionally. Handle telephone calls, transfer as appropriate, and take/deliver accuratemessages.
Manage patient queries; liaise with clinicians, and arrange/cancel/follow up appointments, including home visit requests. Record and update patient information, process prescriptions, medical reports, fees, and requests. Support clinicians as needed, including arranging interpreters, preparing/maintaining clinical rooms, and general housekeeping. Deal with urgent patient needs promptly and fairly, explain practice arrangements to new or temporary patients, and hand out repeat prescriptions.
Ensure security and safety of the premises, performing opening and closing procedures, checks, and lockdown. Monitor and action reception/admin inboxes, Anima tasks, and practice emails. Process prescriptions accurately, manage patient records, new registrations,referrals, test results, hospital letters, and coding. Scan, file, distribute, and manage correspondence and documentation Provide test results where appropriate, advise on non-NHS work, issue receipts for payments, and record monies received.
Run clinical searches, audits, recalls, and appointment monitoring, and maintain data for public health targets. Maintain confidentiality, health & safety, and follow practice policies and protocols at all times. Assist with fire safety, legionella checks, and other practice checks as required. Act as chaperone when needed, restock consulting rooms, cover colleagues duties during absence, and support with refreshments and general office tasks.
Complete and keep up to date with mandatory training.
