Based at a St Giles office (either in Coventry, Norwich, London, Cardiff) with travel requirements to alternative offices
Holiday:
30 days + bank and statutory holidays (pro-rated if part time)
Salary:
32,500 per annum (Inside M25) or 29,500 per annum (Outside M25)

Role Outline
As an organisation, St Giles' strategic vision is to emphasise and reinforce its areas of specialism which is resulting in Service Delivery functions moving to a Pillar Structure, namely:
Criminal Justice

Poverty
Although Central Service functions will, where possible, align to these pillars, as a national charity, there will be some duties that may encompass localised functions such as Health and Safety and facilities support.
You will be part of the Central Services team, providing essential operational support across St Giles Trust's offices and Service Delivery Pillars. The role focuses on coordinating HR, finance, facilities, IT, and compliance processes to ensure smooth day-to-day operations, enhance service efficiency, maintain consistency and regulatory standards across the organisation.
(1) Key Deliverables

Operational Support:
Coordinating and supporting the day-to-day operations of the offices, ensuring smooth and efficient workflow.
Coordinating compliance with internal policies and external regulations and ensuring timely response to any incidents or breaches (e.g., data protection, health and safety, ISO 27001).
Coordinating and supporting the implementation of new initiatives and projects within the Pillar Structure.
Overseeing and supporting of organisational systems and processes, making them work efficiently for teams.
Supporting projects through tracking compliance with good project governance expectations.
Supporting Service Delivery Teams by coordinating the collation and reporting of contractual performance data for internal processes as well as for commissioners and funders.
Completing administrative task such as completing stationary orders, train and hotel bookings, maintaining the drivers register, overseeing the complaints, accident and incident forms.
HR Support:
Assisting with employee onboarding, induction, and leavers including necessary paperwork, ITC equipment, and access control.
Supporting employee training and development, including coordinating training sessions, tracking attendance, and maintaining training records.
Supporting the People Team with Access to Work processes.
Coordinating selected recruitment campaigns.
Finance Support:
Assisting with financial administration tasks, including invoice processing, expense management, and budget tracking.
Preparing and analysing financial reports as required.
Supporting the budget planning and monitoring process.
IT Support:
Supporting with setting up, allocation, and tracking of ICT equipment.
Helping with the maintaining of accurate record of ICT assets, ensuring all allocations and changes are documented.
Facilities Management:
Ensuring the effective maintenance and upkeep of the offices, including building maintenance, health and safety checks, and office supplies.
Coordinating with external contractors for building maintenance and repairs.
Maintaining compliance with health and safety regulations, including risk assessments, fire safety procedures, and emergency response plans.
Communication:
Effectively communicating key information to teams
Maintaining accurate records and reports.
Building and maintaining strong relationships with key stakeholders, both internal and external.
General:
Contributing towards a positive workplace culture
Ensuring that confidentiality and security of information is maintained in accordance with our Confidentiality, Data Protection, IT and Security policies. Promoting sustainable working practices and reducing the environmental impact of St Giles work.

Experience, Knowledge & Qualifications
Experience of working in a fast-paced, multi-faceted project management or operational support role.
Experience in coordinating and supporting operational activities within a national organisation.
Desirable experience in facilities management, including health and safety, and building maintenance.
Knowledge of ISO 27001 or other relevant quality standards.
Understanding of safeguarding practices
Understanding of EDI and creating an inclusive work culture
