Deal Flow is a B2B email outreach company helping funds and operating companies find new clients, investors, and buyers. We run high-volume, automated outreach campaigns through Email Bison, delivering millions of emails per week and feeding results into our CRM (Pipedrive).
We operate across two arms:
Marketing - delivering large-scale outreach campaigns to help companies expand their market presence.
Capital Markets - connecting funds with LPs and supporting M&A processes.
Through this model, we've helped clients secure commitments ranging from $20M to $900M and built a $2B+ qualified investor pipeline.
The Role
As COO, you'll be responsible for the overall performance of our operations -- making sure campaigns deliver results, systems scale with growth, and clients see value. You'll manage the team that keeps campaigns running, while also working closely with leadership on strategy, efficiency, and long-term growth. This role blends tactical execution with executive-level decision-making.
Key Responsibilities
Campaign Oversight: Own end-to-end campaign execution in Email Bison, ensuring lead quality, domain health, and high deliverability across hundreds of active domains and tenants.
Client Engagement: Lead discovery calls, communicate with clients via Slack and weekly meetings, and translate campaign KPIs into actionable insights.
Operational Leadership: Align internal teams, track project progress, and continuously refine workflows to increase speed and efficiency.
Technical Problem-Solving: Troubleshoot issues with deliverability, infrastructure, or workflow -- spanning domains, Microsoft tenants, spam filters, and authentication records (SPF/DKIM/DMARC).
CRM Management: Maintain deal flow accuracy in Pipedrive, ensuring full pipeline visibility across all stages.
Data Analysis: Monitor reply rates, bounce rates, and domain performance to anticipate problems and optimize campaigns.
Team Leadership: Build, manage, and mentor a distributed team, driving accountability and execution at scale.
Qualifications
Fluent in English, both written and spoken.
Bachelor's degree in business, finance, operations, or related field (MBA preferred but not required).
Experience in operations, business development, or marketing -- high-growth or Fortune 500 background strongly preferred.
Familiarity with fundraising and M&A workflows.
Strong knowledge of email infrastructure: domains, Microsoft tenants, SPF/DKIM/DMARC, and host-specific deliverability factors.
Hands-on experience with Apollo (lead sourcing), Email Bison (campaign management), and Pipedrive (CRM pipeline tracking).
Technical fluency: comfortable working with webhooks, Python scripting, and large-scale data wrangling.
Proven ability to manage teams and multiple projects in a fast-paced environment.
Strong initiative, analytical problem-solving, and clear communication.
Compensation
Base salary: $5,000/month
Profit share: Additional percentage of company profits (performance-based, details shared during interview process)
