Role Overview
This role provides direct support to the Director across both businesses, ensuring smooth administrative operations and assisting in day-to-day coordination, reporting, and communication. It is ideal for someone who is highly organized, reliable, proactive, and capable of managing multiple responsibilities across two growing companies.

Key Responsibilities
Administrative & Executive Support
Provide daily assistance to the Director, including scheduling, meeting coordination, travel planning, and note-taking.
Manage email correspondence and maintain organized digital filing systems.
Prepare reports, presentations, and internal documents when required.
Office & Operations Management
Coordinate with team members across both companies to ensure smooth workflows.
Assist in managing property records, tenancy files, guardian documents, and compliance requirements.
Oversee routine office needs (supplies, utilities, IT support coordination, etc.).
Client & Stakeholder Coordination
Act as a point of contact for clients, students, parents, suppliers, and external partners when required.
Support the onboarding of new clients in both property and guardianship businesses.
Help manage CRM systems, ensuring accurate and up-to-date client records.
Marketing & Communication Support
Coordinate with the marketing team to assist in scheduling content, tracking progress, and basic proofreading.
Support the Director in preparing seminar/event materials or newsletters.
HR & Finance Administration
Assist with onboarding of new staff and maintaining HR documentation.
Track invoices, receipts, and liaise with the finance/bookkeeping teams on monthly summaries and expenses.

Key Skills & Requirements
Strong organizational and time-management skills.
Excellent written and verbal communication in English & Mandarin/Cantonese.
Proficiency with Microsoft Office (Excel, Word, PowerPoint), Google Workspace, and task/project tools (e.g., Notion, Trello, or similar).
A proactive, solution-focused mindset with attention to detail.
Ability to multitask and work independently with minimal supervision.
Prior experience in real estate, education, or operations support is a plus.
