We are seeking an experienced and highly organised Executive Assistant to provide confidential, comprehensive support to a nominated Director or Deputy Director at Lister Hospital. This varied role includes high-level administrative, secretarial and project support, diary management, meeting coordination, and preparation of reports and presentations.
You will act as the first point of contact, handling sensitive communications with professionalism and discretion, while supporting the delivery of key projects and stakeholder events.
What you'll be responsible for:
Providing a full range of secretarial and administrative support to the Director/Deputy Director, including handling correspondence, managing emails, and preparing draft responses.
Managing complex diaries and scheduling meetings, ensuring prioritisation and adequate preparation time.
Coordinating and supporting high-level meetings, including Board and Committee meetings -- preparing agendas, distributing papers, taking minutes, and tracking actions.
Organising internal and external events, including booking venues, coordinating speakers, and managing communications.
Supporting delivery of key projects by preparing action plans, reports, data analysis, and high-quality presentations using Microsoft Office.
Acting as the first point of contact for internal and external stakeholders, handling sensitive enquiries and information with discretion and professionalism.
Maintaining accurate records, confidential filing systems, and ensuring effective follow-up on all relevant actions and communications.
Assisting in updating Trust intranet and website pages, and deputising for the Trust Secretary in Board Committee meetings where required.
You'll learn the following whilst working at the trust:

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You'll have the following skills/experience:
Proven experience providing executive or senior-level administrative support within a complex organisation (NHS or similar desirable).
Excellent communication and interpersonal skills, with the ability to liaise effectively and tactfully with people at all levels, including patients, staff, and external stakeholders.
Strong organisational skills with the ability to manage competing priorities, meet deadlines, and handle confidential matters with discretion.
Demonstrated experience in managing complex diaries, organising meetings, minute taking, and drafting correspondence.
Proficiency in Microsoft Office applications, particularly Word, Excel, PowerPoint, and Outlook.
High attention to detail, with strong written and verbal communication skills.
Experience in project coordination, including the preparation of action logs, reports, and presentations.
Ability to work independently and proactively in a fast-paced environment, while also being a collaborative team player.
This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.
