Tranquility Homes manages a substantial residential portfolio and operates an AI-supported, relationship-led approach to property management. Our systems handle first-line tenant reporting and triage so people can focus on judgement, landlord relationships and protecting asset value. We are recruiting a Client Property Manager who will work above the AI layer, making the final decision on escalations and repairs, managing contractors and maintaining landlord confidence.
Role summary
As a Client Property Manager you will be the senior operational owner for an assigned portfolio. You will review AI-triaged cases, make pragmatic decisions on escalations and repairs, manage contractor performance, and maintain landlord relationships. The role is practical and hands-on -- intervening where human judgement and commercial sense are required.
Key responsibilities
Act as the principal contact for an allocated landlord portfolio and manage landlord communications clearly and professionally.
Review and quality-assure AI-triaged cases; decide on escalations and complex maintenance matters.
Authorise routine contractor instructions and repairs within agreed financial thresholds (typical job values c.300-400; authorised up to 400), and prepare recommendations for larger or strategic spending.
Manage contractor performance: set expectations, monitor delivery and follow up on poor performance.
Identify recurring maintenance patterns and recommend practical planned or preventative repairs.
Ensure statutory compliance is maintained (gas, EICR, fire safety, HMO licensing) and raise risks promptly.
Provide practical feedback to the technical lead to improve triage and workflows.
Carry out occasional property visits and attend landlord meetings as needed.
Person specification
Essential
Minimum 3 years' experience in residential property management or lettings with portfolio responsibility.
Good commercial judgement and the ability to make pragmatic decisions.
Experience working with contractors and managing performance.
Clear and confident communicator in writing and face-to-face.
Comfortable working with dashboards, ticketing systems and structured workflows.
Calm under pressure with good prioritisation and organisational skills.
Right to work in the UK.
Desirable
ARLA / Propertymark qualification (or working towards).
Familiarity with Fixflo / HelpmeFix, Jupix, InventoryBase, Respond.io or similar systems.
Experience with HMO compliance or multi-room portfolios.
Full UK driving licence and access to a vehicle for property visits.
Authority & decision-making
Typical repair job values are around 300-400. Client Property Managers will be authorised to approve routine works up to 400 (final threshold confirmed at appointment).
For works above that threshold, or for commercial/strategic decisions, the Client Property Manager will prepare a recommendation to the landlord (client)
Responsible for recommending contractor restrictions or removals where performance is unsatisfactory.
Performance measures
Landlord satisfaction and retention across portfolio.
Timeliness and quality of escalation resolutions.
Reduction in repeat maintenance issues and improvements in first-time fixes.
Contractor performance against agreed standards.
Practical contributions to improving triage and reducing avoidable human workload.
Reporting & relationships
Reports to: Operations Director.
Works closely with: Technical/AI lead, Revenue & Lettings teams, Inspections/Inventory team, Accounts and contractors.
