Aitchison Raffety is a multi-service national property consultancy which operates from a number of UK offices with over 100 professionals. We provide the full range of property services and advise large corporate businesses, developers, investors, lenders, local authorities and a sizeable number of occupier types.

This role's main function as Client Services Quotes Executive and Administrator for the Valuation Team is to provide comprehensive administrative and quotation support to clients, customers, banks, valuers, and Client Services staff within a fast-paced and busy environment. This is a varied and dynamic role where no two days are the same, requiring the post holder to carry out a wide range of duties and attend relevant meetings as required, ensuring an efficient, professional, and customer-focused service delivery.

Key Accountabilities:



Supporting the Client Services Manager in the preparation and provision of client quotations. Assisting with quoting using all available tools and software to ensure the assignment of the most suitable valuer. Researching and developing knowledge of property types to support the quoting and instruction process. Formulating basic quotes in line with company procedures. Ensuring legal compliance by undertaking conflict checks using approved systems and tools. Aiding with the setup of new instructions and issuing confirmation letters. Supporting surveyors by obtaining required information in relation to instructions and lender requirements. Assisting the Admin Hub with echo-signs, including formatting and issuing reports where required. Sending confirmation letters, valuation reports, welcome emails, and other correspondence from the Client Services inbox. Providing exceptional customer service by responding in a timely, professional manner, including managing the client services inbox, taking incoming calls, making outbound calls (e.g. inspections, payments, quote discussions), raising and issuing invoices (including uploading to portals where required), maintaining accurate spreadsheets, archiving completed jobs, and attending relevant meetings as required.

Qualifications & Experience:



Experience in administrative roles and demonstrates strong proficiency in Microsoft Word and Excel, with a high level of accuracy and attention to detail. Excellent interpersonal and communication skills are essential, along with a proactive, flexible "can-do" attitude and a high level of discretion.

The successful candidate will be a strong team player with the ambition and ability to build effective working relationships. They will possess excellent organisational and IT skills and be capable of managing a varied, interesting, and occasionally challenging workload within a fast-moving environment.
