The Role

The Clinic Coordinator plays a pivotal role in the smooth day-to-day running of Dr Emma Clinics. You will be the central point of communication between patients, therapists, practitioners, and management, ensuring an exceptional patient journey at every touchpoint.

This role suits someone who is organised, proactive, commercially aware, and deeply invested in the success of the business. You must be adaptable, professional, and aligned with the clinic's values.

Key Responsibilities

Clinic Operations & Administration

Oversee daily clinic operations to ensure efficiency and professionalism Manage appointment scheduling, cancellations, and diary optimisation Handle patient enquiries (phone, email, social media DMs) promptly and courteously Maintain accurate patient records and ensure GDPR compliance Coordinate stock levels, orders, and supplier communication Support management with reporting, systems, and process improvements
Patient Experience

Deliver a warm, welcoming, and polished front-of-house experience Act as a patient advocate, ensuring concerns are addressed efficiently and compassionately Manage feedback, reviews, and follow-ups to maintain high patient satisfaction
Team & Culture

Work closely with therapists, practitioners, and management to ensure seamless clinic flow Support onboarding and training of new team members where required Uphold clinic standards, values, and brand at all times Demonstrate loyalty, discretion, and professionalism in all aspects of the role
Business Growth & Mindset

Actively contribute to the commercial success of the clinic Identify opportunities to improve systems, patient flow, and revenue Take ownership and show initiative rather than waiting to be directed Demonstrate a strong drive to see the business succeed, grow, and evolve
Social Media & Brand Presence

Actively participate in clinic social media (Instagram, stories, behind-the-scenes content) Support content creation by capturing treatments, clinic moments, and educational material (within consent guidelines) Engage confidently and professionally with patients via social platforms Align with and help maintain the clinic's tone, image, and brand standards.
The Ideal Candidate

Previous experience in a clinic, medical, aesthetic, or customer-facing coordinator role (essential) Exceptionally organised with strong attention to detail Confident communicator, both written and verbal Comfortable using booking systems, CRM software, and social media platforms Commercially aware with a proactive, solution-focused mindset Loyal, trustworthy, and aligned with the long-term vision of the clinic Passionate about aesthetics, skin health, wellness, and patient care
