We are a dynamic and patient-focused clinic committed to providing exceptional care and service. We are looking for a tech-savvy, organised, and proactive individual to join our team and ensure smooth day-to-day operations, both front-of-house and behind the scenes.
Key Responsibilities:
Welcome and assist patients, ensuring a professional and comforting experience.
Provide high-quality customer service, responding to enquiries via phone, email, and in-person.
Assist patients during appointments, providing support and reassurance as needed.
Maintain and organise patient records, both paper-based and digital, as we transition to a new digital system.
Conduct regular file audits to ensure completeness, accuracy, and compliance.
Data input and management, ensuring accuracy and confidentiality of patient information.
Assist with billing, invoicing, and general administrative tasks.
Schedule appointments, meetings, and events using company calendars.
Prepare clinic files and ensure all paperwork and signatures are complete.
Order and manage clinic supplies, equipment, and stock, including stock takes.
Liaise with doctors and clinic staff to ensure smooth daily operations.
Support clinic operations including heating, internet, and other behind-the-scenes management tasks.
Take minutes during meetings and assist with general administrative support for senior staff.
Manage social media scheduling via Meta Business Suite and contribute to website updates; experience with Wix is a plus.
Ensure compliance with CQC guidelines for clinic operations, hygiene, and documentation.
Be responsible for the cleanliness and presentation of the clinic, ensuring all areas are tidy, hygienic, and prepared for patient appointments and medical consultations.
Requirements:
Strong IT skills, including Microsoft Office (Word, Excel, Outlook), Google Workspace, and other digital tools.
Experience with social media management and website platforms (Wix experience advantageous).
Excellent organizational and multitasking abilities.
Strong interpersonal and communication skills; confident in dealing with patients and staff.
Ability to work independently and take initiative in a fast-paced environment.
Comfortable with administrative, PA-style responsibilities, and patient-facing tasks.
Attention to detail and high levels of accuracy, especially with data entry, stock takes, and file audits.
