For more information about Landbay, please visit our website:https://landbay.co.uk/about-us The Role Maintain a strong overall knowledge of the completions process and address all admin-related queries within the team. Manage the Completions inbox by raising tasks and distributing emails accordingly. Answer all incoming calls on the completions line, handle relevant enquiries, and distribute other calls to the appropriate team. Process all incoming post to the Completions Team and distribute as needed. Respond to basic completions enquiries received via phone or email from intermediaries, brokers, valuers, or solicitors. Assist the Completions Team with ad hoc duties to ensure smooth and efficient daily operations. Conduct file reviews of cases, update solicitors via email, and chase required documents for completion. Chase, review and action Direct Debit Mandates ensuring they are in line with Landbay's requirements. Follow up on notification of completion from solicitors and ensure all necessary actions are taken. Review post-completion emails and address any that require action. Respond to basic completion queries and handle all admin-related queries within the team. Conduct initial COT checks to verify information provided by solicitors and assist the Completions Team in determining whether to accept or reject the COT. Support with the training of new starters and provide valuable feedback on their progression. Proactively seek personal and professional development opportunities through continuous learning and training. Review the digital signature process, including managing witness documentation. Liaise with managing agents to manage notices of charge and certificates of compliance. Review and address outputs from questionnaires. Verify payment of product fees. Review OS1 searches, ensuring accuracy and completeness. Obtain certificates of compliance and receipted notices of charge. Respond to requisitions from HM Land Registry (HMLR) in a timely manner. Desired/Essential Skills & Experience Essential Minimum of 1 years' experience as a Completions Support Admin or similar role Excellent communication skills; fluency in spoken and written English. Strong project and time management skills. Ability to work in a fast-moving environment where priorities may change. Ability to work under pressure to meet deadlines. Comfortable working to a brief, both as a team member and independently. Committed, enthusiastic, and flexible. Positive, can-do attitude. Good working knowledge of MS Office. Good sense of humour. Desired Administration experience within the mortgage industry. A future leader in the making while working in a collegiate environment. Desire to succeed through collaborative commitment while also having the confidence to stand out when needed. Self-confident communicator, team player with attention to detail, and good time management. Proven track record in a similar department or business stream. Experience working with databases. Location & Logistics This position is based in Victoria, central London, reporting to the Completions Support Officer Team Leader.
