This is a full-time role, within the Life Sciences team, providing support to the production teams across the events within the portfolio. In this key role you will be responsible for helping contribute to the overall effectiveness of the production team. This will include but not limited to various projects throughout the production lifecycle, as well as, managing processes like credits, speaker coordination and database management.

Supporting the production team and providing administrative support including: keeping all event documentation updated (speaker database/conference agenda) and ensuring platforms used (web) are kept up to date, liaising with marketing and operations team to ensure appropriate processing of credits.

Management of the conference Master Data Sheet, including all live and on demand content.

The job would suit someone who is proactive, highly organised, outgoing, professional with excellent communication skills and with an interest in providing excellent customer service, looking to build a career in events.

JOB FUNCTION

  • Adding the agenda to our CORE website including all confirmed speakers (50%)
  • Following up with all confirmed speakers, confirming their details for the Speaker Database and adding all information to both word schematics, speaker database and CORE website (collating and adding all direct contact info to the database, and bios and photos to the CORE website, as well as adding and amending any updates to speakers or talks). (10%)
  • Ensuring word schematic, speaker database, Master Data Sheet and CORE website are in line with each other and fully complete and continuing to keep all key documents and website up to date in the run-up to the event - changes, amends, cancellations and new, including those confirmed via SpEx. Keeping other event stakeholders updated on these changes. (30%)
  • Proof-read agenda in the final event guide to make sure this is in-line with both CORE and the event app. (10%)
KEY METRICS
  • Ensuring all event materials are keep in sync and update to date
  • Attending some of the events and being a key part of the onsite delivery team
  • Gaining an understanding into what\'s needed for a conference producer role
  • Managing online presence for the conference - uploading content (speaker pictures, bios etc) to the website
  • Managing all other key conference materials - word schematics, speaker databases, pre-event prep docs
  • Deadline driven; requires working with all major stake holders to ensure all information is received, and online inline with marketing timelines
Qualifications
  • Excellent communication skills, creative, customer-focused, works well to deadlines and within a team structure, excellent attention to detail and the ability to build relationships with our speakers.
  • Responds effectively and delivers excellent customer service consistently. Looks for opportunities to improve customer experience and maintains high quality in all interactions with customers.
  • Highly organised, and the ability to manage time effectively - juggling numerous tasks at once.
  • Good team player but able to work under own initiative.
  • A drive to improve current processes and develop creative solutions within the Life Sciences team.
  • IT literate, proficient in Microsoft office, word, excel, power point. Will be trained on our internal website and App platforms
  • Liaise cross functionally on the conference credit program and ensure attendees receive the necessary information and company stays current with providing credit associations
  • Works closely with other groups in company to assist in production related projects and processes as needed
  • Prior experience in a support/administration role working in a fast-paced, high volume environment.
  • Highly organized, strong attention to detail, with the ability to work in a deadline-oriented environment
  • Proven experience working in a client-based environment with excellent verbal and written communication skills
  • A team player with a \xe2\x80\x9ccan-do\xe2\x80\x9d attitude who is eager to learn and grow within the Informa family
  • Strong proficiency with MS Office products (Word, Excel, PowerPoint)
